Position Summary: 

The Warehouse Supervisor manages and oversees all warehouse activities, ensures efficient processes, and maximizes warehouse productivity. The Warehouse Supervisor's responsibilities include supervising employees, coordinating logistical processes, ensuring the quality of goods, and preparing relevant documentation. Ideal candidates should be experienced in optimizing warehouse processes, be an effective team leader, be dependable, and have excellent organizational and time management skills. It is crucial that this position supports the mission and values of It Is Written by exemplifying the values and beliefs of the Seventh-day Adventist Church in all interactions.

Authority as delegated by and directly accountable to the Director of Publishing in accordance with It Is Written’s policies and objectives.

 

Essential Position Functions:

  • Direct supervision and oversight of the warehouse staff
  • Ensure proper staffing levels on a daily basis, including forecasting of the department needs and workloads to maintain streamlined and efficient warehouse operations.
  • Develop and review processes that enhance efficiency and accuracy.
  • Provide assistance, direction, advice, and corrective action when necessary.
  • Maintain a hazard-free work environment.
  • Report accidents timely, logging all injuries, near misses, and safety incidents to the Director of Publishing.
  • Train, follow, and promote all safety codes among staff.
  • Monitor that safety procedures are followed when operating forklifts, pallet jacks, machines, and equipment.
  • Responsible for the daily and routine warehouse duties and management
    • Utilize phone and email to communicate interdepartmentally and with vendors.
    • Process and fulfill all online and internal orders.
    • Review pick tickets and verify the accuracy of shipments.
    • Process and assemble promotional orders for It Is Written staff and field representatives.
    • Investigate shipping and fulfillment errors and find solutions.
    • Assist Adventist Media Ministries (AMM) Accounting staff with accurate order entry and processing.
    • Maintain records, report relevant info, and prepare any necessary documentation.
    • Assist with retrieving items from the warehouse for department requests.
    • Perform year-end inventory counts.
    • Report equipment failures and coordinate repair (e.g. DVD duplicators, forklift, etc.).
    • Troubleshoot device/machine software and hardware issues that may arise, communicating with IT and vendors as needed.
    • Maintain adequate stock levels of resources in the warehouse and notify Publishing of low stock.
    • Analyze inventory trends and provide recommendations to the Director of Publishing on ways to improve inventory turns and maximize warehouse capacity.
    • Organize the 500+ pallet positions to maximize efficiency and effectiveness.
    • Ensure the warehouse remains organized, clean, and tidy.
    • Duplicate CDs/DVDs as needed.
    • Collaborate with the It Is Written volunteer coordinator on volunteer activities.
    • Supervise volunteers while they work on projects.
    • Prepare for and perform routine cycle counts of inventory.
    • Facilitate and coordinate packing of materials for It Is Written events.
  • Responsible for the management of mail and shipping services
    • Perform loading and unloading of delivery vehicles.
    • Ensure staff, facility, and volunteers are in compliance with OSHA, DOT, and other regulatory bodies.
    • Order shipping supplies as needed.
    • Process incoming and outgoing business mail.
    • Schedule regular preventative maintenance and repairs for vehicle and equipment.
    • Assist by driving company-owned vehicles to make occasional drop-offs or pick-ups, take vehicles to receive maintenance service, or other occasional needs.
    • Coordinate special mailing needs and methods with department representatives.
    • Keep staff informed of new procedures, policies, and products.
  • Maintain continual contact with the Director of Publishing and Publishing and Customer Service personnel to remain aware of all mailing and fulfillment requirements.
  • Provide updates and suggestions about warehouse operations and staff at weekly team meetings.
  • Be available to meet in person for department team meetings, project meetings, and in collaboration with team members from other departments.
  • Fulfill other related responsibilities and duties as assigned.

 

Position Specifications:

Qualifications, Scope, and Complexity of Duties:

  • Education:

A high school diploma or equivalent is required.

A bachelor’s degree in a related field is preferred.

 

  • Experience:

Five (5) years of relevant experience in a shipping/warehouse environment is preferred. Three (3) years of supervisory or management experience is preferred.

Must have a valid driver’s license and a clean driving record.

    • Be proficient in the use of a forklift, pallet jack, and dock leveler.
    • Be able to operate a box truck (up to 26’, non-Commercial Driver’s License).
    • Have international shipping experience and knowledge of customs procedures.

Working Conditions:

  • General working conditions of an office and warehouse.
  • Occasional moderate to high stress due to meeting critical deadlines.
  • Prolonged computer viewing and repetitive motion from keyboard and mouse use.
  • Some travel may be required.
  • Physical requirements (percentages are approximations):
    • Standing 50%
    • Walking 30%
    • Reaching 15%
    • Sitting and working on a computer   5%
    • Lifting up to 75 lbs.
    • Pushing or pulling up to 4,500 lbs on a pallet jack

 

Specific Requirements:

  • Hourly, 38 regular hours per week.
  • May occasionally require variable hours and weekend work.
  • No special clothing is required.
  • Safety gear: closed-toe shoes are required.
