As a Fleet Manager II at ASI, you are responsible for independently managing the full lifecycle of ASI's mixed fleet - including autonomous vehicles, company vehicles, trailers, and OHVs - with limited supervision. You own fleet compliance, maintenance programs, vendor relationships, and data reporting, and serve as ASI's primary internal liaison to the contracted DOT compliance management vendor. You identify process gaps and drive improvements that increase fleet reliability, reduce cost, and maintain regulatory standing.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Independently manage preventive maintenance, inspection, and repair programs for all fleet assets; analyze service data to identify recurring issues and implement corrective action.
- Own vendor relationships with fleet service providers and the contracted DOT compliance management vendor; evaluate performance and escalate issues to leadership as needed.
- Administer fleet management software and telematics systems (GPS tracking, ELD, and diagnostic data) to monitor fleet performance, safety, and compliance.
- Manage the DOT drug and alcohol testing program, including pre-employment, random, post-accident, reasonable suspicion, and return-to-duty testing; maintain compliant records.
- Maintain DOT-required accident registers, post-accident documentation, and roadside inspection records; ensure FMCSA audit readiness at all times.
- Ensure applicable drivers are enrolled in the FMCSA Drug and Alcohol Clearinghouse; complete required queries and annual checks on schedule.
- Coordinate ELD compliance and hours-of-service (HOS) oversight with the DOT compliance vendor; escalate violations or patterns requiring management attention.
- Track and manage fleet budget, including fuel, maintenance, insurance, and capital expenditures; analyze variances and report KPIs to operations leadership.
- Evaluate fleet needs and provide recommendations for vehicle acquisition, leasing, or disposal; communicate all purchases and disposals to accounting and insurance.
- Support the organization's asset management program, ensuring fleet assets are accurately tracked and reported in alignment with lifecycle and inventory standards.
- Identify and recommend process improvements across fleet policy, compliance workflows, and vendor management; contribute to departmental strategic planning.
- Coordinate and track facilities construction and renovation projects across ASI locations, including timelines, contractor deliverables, and punch lists.
ESSENTIAL EDUCATION, WORK EXPERIENCE, JOB SKILLS
- Bachelor's degree in Business Administration, Logistics, Supply Chain, or a related field.
- Proven experience (2–4 years) in fleet management, operations coordination, or a related field.
- Demonstrated knowledge of DOT/FMCSA compliance requirements, driver qualification processes, and drug and alcohol testing program administration.
- Experience managing a mixed fleet including passenger vehicles, trailers, OHVs, or specialized equipment.
- Proficiency with fleet management systems and telematics platforms (e.g., Geotab, Samsara, Fleetio, Whipearound, or similar).
- Experience working with a third-party DOT compliance vendor.
- Analytical skills sufficient to interpret fleet data, build cost models, and present findings to leadership.
- Certified Automotive Fleet Manager (CAFM) or equivalent NPTC/NAFA certification, or active pursuit of certification.
- Proficiency in Microsoft Office Suite; experience with ERP or work order management systems.
- Valid driver's license with a clean driving record; experience with commercial vehicles, OHVs, or trailers.
