This position plays a critical role in supporting Augusta Health’s mission and advancing departmental goals through measurable performance indicators and service excellence. This position contributes to a collaborative, patient-centered environment and helps drive outcomes aligned with organizational priorities.

The Facilities Project Coordinator supports the Facilities division leadership team and manages small projects (typically less than 150K budget but may manage larger projects if deemed appropriate). Assists in managing Facilities projects schedules, documentation, procurement activities, contractor coordination, regulatory requirements, and communication among internal departments and external partners. The position helps ensure projects progress efficiently while minimizing disruptions to patient care and daily hospital operations.

The Facilities Project coordinator works closely with the Facilities Management Department, Construction Department, and Project Management Office (PPMO), this position serves as a central point of coordination to ensure projects are organized, communicated effectively, and completed in accordance with organizational priorities.

This role requires exceptional organizational, communication, and customer service skills while supporting multiple projects in a fast-paced healthcare environment.

  • Project Coordination
    • Coordinate facility maintenance, renovation, infrastructure, and capital improvement projects from initiation through project closeout.
    • Manges small projects and renovations (typically with a budget of 150k or less but could be more if deemed appropriate)
    • Assist with project planning, scheduling, budgeting, and implementation activities.
    • Maintain project schedules, milestone tracking, and status reports.
    • Coordinate project meetings and distribute agendas, meeting minutes, and action items.
    • Monitor project progress and communicate schedule changes to project stakeholders.
    • Maintain project documentation, contracts, drawings, permits, and closeout records.
    • Assist Project Managers and department leadership with project administration.
  • Facilities Operations Support
    • Provides administrative support for the Administrative Director of Facilities
    • Manage space planning
    • Manage signage requests
    • Manage relocations, moves and changes
    • Manage furniture purchases
    • Coordinate facility improvement requests between clinical departments, Facilities Operations, and Construction Services.
    • Assist with planning maintenance-related capital replacement projects.
    • Coordinate utility shutdowns and infrastructure work with affected departments.
    • Support projects involving HVAC, electrical, plumbing, medical gas, fire protection, security, and building automation systems.
    • Assist in facility condition assessments and long-range capital planning initiatives.
    • Construction Coordination
    • Coordinate activities between contractors, architects, engineers, consultants, vendors, and Augusta Health departments.
    • Schedule contractor access and coordinate work with hospital operations.
    • Assist with bid document preparation, contractor onboarding, and project documentation.
    • Monitor contractor compliance with project schedules and hospital requirements.
    • Coordinate project inspections and assist with project closeout activities.
  • Regulatory Compliance
    • Assist project teams in maintaining compliance with applicable healthcare regulations including:
      • DNV Standards
      • CMS Conditions of Participation
      • NFPA Life Safety Code
      • FGI Guidelines
      • Infection Control Risk Assessment (ICRA)
      • Interim Life Safety Measures (ILSM)
    • Coordinate required documentation for regulatory inspections and accreditation surveys.
  • Financial & Administrative Support
    • Assemble Capital Request Forms for facilities projects
    • Assist with project budgeting and cost tracking.
    • Process purchase requisitions, purchase orders, invoices, and payment requests.
    • Track project expenditures and maintain budget documentation.
    • Assist with contractor contracts and change order documentation.
    • Maintain project files in accordance with Augusta Health policies.
  • Communication & Stakeholder Coordination
    • Serve as a liaison between Facilities Management, Construction Services, PPMO, clinical departments, contractors, and consultants.
    • Provide timely project updates to department leaders and stakeholders.
    • Coordinate communication regarding project impacts, outages, shutdowns, and schedule changes.
    • Develop collaborative working relationships across all hospital departments.
  • Safety & Infection Prevention
    • Coordinate implementation of Infection Control Risk Assessments (ICRA) and Interim Life Safety
    • Measures (ILSM) for construction projects.
    • Ensure contractors comply with Augusta Health safety policies.
    • Coordinate project activities to minimize disruption to patient care.
    • Participate in safety rounds and construction site inspections.
  • Continuous Improvement
    • Assist in developing standardized project management processes and documentation.
    • Identify opportunities to improve project coordination, communication, and workflow efficiency.
    • Support implementation of project management software and reporting tools.
    • Participate in departmental quality improvement initiatives.

Requirements

  • Education: Associate degree or currently enrolled in a degree program at an accredited college in Construction Management, Business Administration, Facilities Management, Engineering Technology, or related field.
  • Licensure/Certification: None
  • Experience: 
    • Minimum of two (2) years of experience working in a facilities management department, or coordinating projects in facilities, construction, healthcare, or related industries.
    • Strong organizational and time management skills.
    • Excellent written and verbal communication skills.
    • Ability to coordinate multiple projects simultaneously.
    • Experience in a healthcare environment.
    • Experience supporting multiple concurrent projects
    • Ability to work independently while supporting multidisciplinary teams.
    • Experience working with contractors, vendors, and multidisciplinary teams
    • Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and Project.
  • Driver's License: N/A
  • Eligibility to work in the United States and meet Virginia state employment requirements
  • Education:
    • Bachelor’s degree in Construction Management, Facilities Management, Architecture, Business Administration, Project Management, or relevant field .
    • Equivalent combinations of education and experience may be considered. 
  • Licensure/Certification:
    • Certified Associate in Project Management (CAPM)
    • Project Management Professional (PMP)
    • Certified Healthcare Facility Manager (CHFM)
  • Experience: None
  • Prior experience in a hospital, healthcare system, or related service-oriented environment
  • Familiarity with Augusta Health’s systems, workflows, or organizational culture is a plus
  • List measurable or observable knowledge, skills, abilities and/or behaviors needed by anyone in this role to succeed in performing the essential job duties
