Job Purpose
The Inventory Manager is responsible for ensuring the company’s inventory database is kept accurate and current. This role involves overseeing the costing of items on the VAI database, managing monthly performance metrics, and leading a team to ensure all inventory-related processes and procedures are strictly followed. This position reports to the Operations Manager.
Key Duties and Responsibilities
- Staff Management: Manage and direct all staff activities within the Inventory Department (including Supervisors and Clerks), ensuring high productivity. Conduct regular, documented performance reviews, identifying strengths, development areas, and setting personal targets.
- Costing and Pricing: Ensure items purchased for inventory and projects are accurately costed on the VAI database in accordance with established procedures. Ensure all inventory items are priced or re-priced according to established company policy.
- Auditing and Stock-Counts: Coordinate all company stock-count exercises (Cycle Counting and Periodic Stock-Counts) at Retail, Warehouse, and other locations. Perform random inventory audits at all Retail and Warehouse locations and conduct stock-count post-mortem meetings with the management team. Audit Retail locations to ensure procedural compliance.
- Inventory Accuracy and Reporting: Investigate inventory queries and stock differences daily, adjusting inventory as justified and reporting findings to management. Monitor, analyze, and report on monthly inventory metrics and KPIs to the Operations Manager, Finance Director, and Executive leadership. Prepare comprehensive weekly, monthly, and annual inventory reports.
- Documentation: Monitor, process, and report on all manual documentation used in inventory transactions, including Stock Write-offs, Adjustments, Transfers, Delivery Notes, and Goods Return Notes.
- Training and Compliance: Train company employees in inventory-related policies, processes, and SOPs to ensure organizational compliance.
- Demonstrates active adherence to all Health, Safety, and Environmental (HSE) policies, and foster HSE awareness
- Responsible for Team compliance as it relates to Health, Safety and Environmental (HSE) policies and procedures
- Perform other related duties as assigned by management
Academic Qualifications and Experience
- A Bachelor’s degree (B.Sc.) in Inventory Management, Logistics, Supply Chain Management, or a related field.
- A minimum of five (5) years’ experience in a similar inventory management or warehouse environment.
- Proficiency in the Microsoft Office suite (specifically Excel) and experience with VAI or similar MRP/ERP software.

- Strong analytical and problem-solving skills with a focus on inventory accuracy.
- Excellent interpersonal and leadership skills with the ability to manage a diverse team.
- High level of negotiation skills and demand planning expertise.
- Excellent communication skills, both oral and written.
- Team-oriented with the ability to work in a fast-paced environment with minimal supervision.
