The Vendor Relations Specialist is the front line of Amerit's vendor management operation, responsible for onboarding, qualification, and day-to-day relationship management with our vendor network. This role is highly communicative—spending approximately 40% of the day on phone calls—managing both inbound vendor inquiries and outbound prospecting to identify qualified vendors that meet customer needs. The Specialist works alongside the Manager of Vendor Relations & Dispute Resolution to ensure vendors are properly set up, compliant, and performing to Amerit standards. ~1 min read- Identify and research qualified vendors to meet Amerit's needs across all business segments
- Conduct initial outreach to prospective vendors; lead qualification discussions to determine fit with Amerit requirements and standards
- Partner with Manager on vendor selection and due diligence oversight
- High school diploma or equivalent
- Proficiency in Microsoft Excel
- Comfortable and effective on the phone; demonstrated ability to build rapport with external contacts
- Exceptional organizational and time management skills; ability to balance multiple priorities in a fast-paced environment
- Strong written and verbal communication skills
- Excellent attention to detail and commitment to accuracy
- Ability to learn new software systems quickly (Zendesk experience a plus)
- Willingness to take initiative; self-starter mentality
- Ability to exercise independent judgment and make decisions with confidence
- Experience in vendor management, account management, or operations
- Background in fleet management, transportation, or automotive industry
- Experience with Zendesk or other ticketing/CRM systems
- Administrative, customer service, or procurement experience
- Familiarity with ERP systems such as PeopleSoft
- Guide vendors through the onboarding process in accordance with company procedures and regulatory requirements
- Maintain and update vendor account numbers, contact information, and key documentation in Zendesk and database systems
- Ensure all required contracts, agreements, and compliance documentation are collected, filed, and current prior to vendor going live
- Develop subject matter expertise on Amerit's vendor requirements and communicate them clearly to prospective and current vendors
- Initiate, cultivate, and maintain positive, professional relationships with vendors and Amerit customers they support
- Maintain national account communications and coordination; participate in vendor calls and status updates with key accounts to ensure alignment on expectations and performance
- Monitor vendor compliance with Amerit requirements; ensure all documentation, certifications, and agreements remain current and non-expired
- Follow up with vendors to ensure customer account numbers are active, properly set up, and communicated to the field
- Maintain and organize all onboarding paperwork and account records in accordance with company standards
- Collaborate with Accounts Payable, Procurement, Operations, and Management to identify and resolve vendor setup issues before they impact service
