The Benefits & Leave Specialist administers the organization’s leave management and benefits programs, including carrier coordination, benefit and invoice reconciliation, deduction transfers, retirement plan changes, and year-end ACA reporting. This role requires someone who is highly data-savvy and detail-oriented, with a deep understanding of FMLA and PWFA regulations and strong follow-through. The Benefits & Leave Specialist will need to communicate effectively, drive execution, foster innovation, collaborate with others, display a client-centric view, and demonstrate high follow-through.
Responsibilities

● Administer the full leave management process, including FMLA, PWFA, ADA, parental, military, and personal leaves from intake and eligibility determination through return to work
● Serve as the primary point of contact for employees on leave, providing clear, timely, and compliant communication throughout each leave event
● Manage all communication and coordination with benefit carriers, including enrollments, terminations, qualifying-event changes, and issue resolution
● Reconcile benefit enrollment and eligibility data between the benefits enrollment system (TBX) and ADP Workforce Now to ensure accuracy across platforms
● Manage and audit benefit deduction transfers from TBX to ADP, verifying that employee deductions are accurate each pay cycle
● Review, process, and reconcile monthly carrier invoices; research and resolve billing and eligibility discrepancies
● Administer retirement plan activity, including 401(k) contribution changes, opt-out requests, and related recordkeeping
● Process and distribute year-end ACA reporting, including 1095-C forms, in compliance with IRS requirements
● Maintain accurate benefits and leave records and ensure data integrity across all systems and reports
● Track and document leave eligibility, designations, certifications, and deadlines in accordance with federal and state regulations
● Partner with payroll to ensure leave and benefit transactions are reflected accurately and on time
● Respond to employee inquiries regarding benefits, eligibility, and leave with a high level of customer service and confidentiality
● Collaborate with team members, leadership, and vendors for updates, reporting, and continuous process improvement
● Maintain compliance with all applicable federal, state, and local regulations governing benefits and leave administration

● Ability to work in a fast paced environment
● Highly data savvy with exceptional attention to detail and accuracy
● Advanced proficiency in Microsoft Excel, including formulas, pivot tables, lookups, and working with large data sets and reconciliations
● Deep working knowledge of FMLA and PWFA regulations; familiarity with ADA, COBRA, HIPAA, and ERISA
● Working knowledge of benefits administration, carrier coordination, and invoice reconciliation
● Experience with benefits enrollment platforms (TBX or similar) and HRIS/payroll systems (ADP Workforce Now preferred)
● Understanding of 401(k)/retirement plan administration and ACA reporting requirements, including 1095-C processing
● Strong follow-through with the ability to independently manage multiple deadlines and recurring cyclical processes
● Must adhere to privacy and confidentiality requirements, including the handling of protected health information
● Independent, logical thinker with advanced troubleshooting and analytical skills
● Strong communication skills, both verbal and written, via video calls, emails, chats, and phone calls
● Ability to work with minimal supervision; self-starter who demonstrates initiative
● Establish and maintain collaborative relationships with team members, leadership, and vendors to meet business objectives
● Flexible and adaptable to a dynamic business environment; catalyst for change
● High engagement; supportive of leadership and role model for company values and guiding behaviors
Include minimum education, technical training, and/or experience preferred to perform the job.
● High school diploma or equivalent required
● Some college or relevant certification (e.g., SHRM-CP, PHR, CEBS) preferred
● 2 - 3 years of experience in benefits administration and/or leave management
