POSITION SUMMARY
This role provides comprehensive administrative, logistical, and travel support for the USCAP mission, including managing records, scheduling, budgeting, and coordinating travel-related activities. Responsibilities also include maintaining databases, preparing correspondence, organizing events, and serving as a primary point of contact for visitors and communications while ensuring compliance with Army regulations and embassy procedures.
RESPONSIBILITIES
- Administratively gather, compile, and manage information and files as requested to support the requirements of the USCAP Administrator.
- Answer telephones, take messages, and greet visitors.
- Create, review, and submit USCAP budget requests
- Receive the travel orders and calculate the allowable amount according to prescribed travel regulations for Per Diem.
- Prepare Travel Advance Voucher for USCAP participants using the spread sheet prepared for the calculations of the lodging and per diem.
- Maintain official documentation of all students or events transactions originated or coordinated within the SCO-CO CTFP Training Program.
- Process badges for all USCAP events and sponsored personnel (U.S. and Foreign National) who need to visit the U.S. Embassy for official meetings within three (3) days of receipt of request.
- Maintain a tracking system on an Excel spread sheet of the per diem, lodging, and meals (as applicable) paid to travelers on long term TDY
- Coordinate official documents for the USCAP Administrator as necessary. Maintain historical files of USCAP events such as invitational travel orders, correspondence from the COLMIL, Ministry of Defense (MoD), GoC, and other U.S. Government Agencies
- Be responsible for preparing reports and documents as necessary and process a variety of Aircraft and Personnel Automated Clearance System (APACS) requests.
- Prepare supporting documents for U.S. passports and visas. Prepare diplomatic notes to the Ministry of Foreign Relations for official U.S. personnel accreditations.
- Prepare supporting documentation for Human Rights vetting requests within one (1) business day of initial request to the Embassy for Colombian military and civilian personnel.
- Inventory, order, and maintain office and cleaning supplies. Screen and distribute incoming correspondence; compose routine letters and replies based on general instructions
QUALIFICATIONS
- Strong analytical and problem-solving skills.
- Strong supervisory and leadership skills
- Proficient with Microsoft Office Suite or related software.
- Strong attention to detail
- Excellent communication and organizational skills
- English professional fluency, preferred. Ability to speak, read and write to appropriate and consistently communicate in English, preferred.
- Ability to obtain and maintain RSO Vetting Security Clearance
- Ability to successfully pass any employment related drug screening and background security check
