The Alumni Center Operations Specialist leads the day-to-day operations of the Anna W. Ngai Alumni Center, serving as the primary point of contact for facility operations, reservations, client services, and event support. The incumbent exercises independent judgment in evaluating operational needs, establishing priorities, coordinating facility operations, and resolving operational issues. The position collaborates with campus departments and community partners to ensure efficient operations, successful meetings and events, and a welcoming, professional, and high-quality experience for alumni, students, faculty, staff, and community guests.


Responsibilities

  • Facility & Operations Oversight: Lead the day-to-day operations of the Anna W. Ngai Alumni Center by administering the Event Management System (EMS), coordinating facility reservations, supporting space utilization, overseeing facility readiness, and serving as the operational liaison with campus service providers to ensure the Center is prepared to support meetings and events.
  • Visitor, Client & Event Services: Serve as the primary point of contact for the Alumni Center by providing center tours, assisting clients with facility reservations, communicating facility capabilities and operational requirements, coordinating with campus partners, and providing customer service to internal and external guests.
  • Business, Fiscal & Administrative Operations: Develop and maintain administrative systems, operational processes, fiscal support activities, and recordkeeping practices that promote efficient operations, regulatory compliance, effective resource management, and continuous improvement.

This is a temporary position for 1 year with no permanent status granted. Temporary assignments may expire prior to the ending date.


Administrative Analyst/Specialist - Exempt I

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

Hiring Range: The hiring range for this position is $5,274 (Step 1) - $5,488 (Step 3) per month commensurate with candidate's education, experience, skills, and training.
CSU Classification Salary Range: The CSU Classification Salary Range for this position is $5,274 (Step 1) - $7,684 (Step 20) per month.
Paid Time Off: Up to 24 vacation days per year (based on employee group and/or length of service), 14 paid holidays, and 12 sick days annually with unlimited accrual.

Retirement Plans: Participation in the CalPERS defined benefit plan, along with voluntary savings options such as 403(b), 401(k), and 457 plans.

The ideal candidate will have strong knowledge of administrative processes and customer service principles, with the ability to build positive relationships with a wide range of stakeholders. They will be highly organized and able to work independently, prioritize competing demands, and manage multiple activities in a fast-paced, service-oriented environment. The successful candidate will possess excellent verbal and written communication skills, enabling them to clearly explain policies, procedures, and facility capabilities to diverse audiences. They will demonstrate strong problem-solving and analytical abilities, maintain a collaborative and positive attitude, and effectively provide guidance and training to student assistants and volunteers. Experience with facility operations, space scheduling, and event support is essential, along with proficiency in Microsoft Office and scheduling systems such as EMS, and the ability to quickly learn new university systems and applications. Overall, the ideal candidate will thrive in a dynamic environment that requires multitasking, adaptability, and exceptional attention to detail.

• Equivalent to a bachelor's degree in a related field and three years of related experience required.

• Experience coordinating office, facility, or operational functions in a customer service-oriented environment is preferred.
