What We Offer

Under the general direction of the Associate Director for the Gutswurrak Student Activities Center (GSAC), the GSAC Evening Operations Coordinator serves as the designated professional staff member and primary operational lead for weekday late-afternoon and evening operations. The position is responsible for building readiness and closing, facility and event support, ticket-office and event box-office operations, customer service, and lead work direction for GSAC student assistants and intermittent hourly employees during the assigned shift.

The position supports the Associate Director with the coordination, preparation, promotion, and on-site execution of GSAC-led signature, cultural, and large-scale programs. The regular work schedule for this position is Monday through Friday, 2:00 p.m.-10:30 p.m. During academic recess periods occurring within the August-May appointment, an alternate daytime or flexible schedule may be approved.

Responsibilities

• Demonstrated strong customer service skills; ability to quickly and creatively solve varying customer service issues using own judgment and initiative.

• Ability to stay calm during conflict and emergency situations and exercise independent judgment in resolving variances, questions, concerns that may arise in the facilities or during events.

• Ability and willingness to consistently work the position’s regularly assigned schedule of Monday through Friday, 2:00 p.m.–10:30 p.m. Evening operational and closing coverage is an essential requirement of the position.

• Demonstrated ability to establish and maintain effective working relationships within and outside the work.

• Experience working with a diverse population and an understanding of the dynamics of diversity in higher education.

• Serve as the designated professional staff member and primary operational point of contact for GSAC during the assigned late-afternoon and evening shift.

• Oversee the readiness, operation, and closing of GSAC public spaces, including lounges, gaming and recreational areas, the Information Desk, Commuter Kitchen, Kate Buchanan Room, University Quad, balconies, and other assigned areas.

• Review daily building and event schedules and ensure that spaces, equipment, access, staffing coverage, and setup arrangements are ready for scheduled activities.

• Conduct regular facility rounds and monitor building use, safety, cleanliness, customer service, and compliance with university and GSAC procedures.

• Lead closing procedures and ensure that assigned spaces, equipment, cash-handling areas, and access points are properly secured at the end of the evening.

• Serve as the on-site operational contact for facility users and event organizers, exercising independent judgment in resolving immediate operational, service, access, safety, and event-related issues.

• Coordinate immediate responses with Facilities Management, University Police, Information Technology, custodial services, and other campus partners as necessary.

• Oversee and assist with evening event setup and takedown, room readiness, basic audiovisual support, and event-hosting responsibilities.

• Document facility concerns, incidents, maintenance needs, customer-service issues, and unresolved matters requiring follow-up by the Associate Director, GSAC Operations Coordinator, or other appropriate staff.

• Maintain clear shift-transition and next-day communication regarding operational issues and required follow-up.

• Provide facility and building-operations support for events coordinated by other campus partners, including room access, setup readiness, building systems, basic audiovisual coordination, safety, customer service, custodial communication, and closing procedures.

• Ensure compliance with GSAC facility safety, access, security, and building-use procedures during all activities occurring in GSAC spaces.

• Document facility or operational issues arising during partner-led programs and communicate follow-up needs to the appropriate GSAC and partner-department staff.

 

• Provide direct, on-site evening lead work direction to student assistants and intermittent hourly employees assigned to ticket-office and event box-office operations.

• Carry out ticket-office operations in accordance with procedures, training standards, system controls, and cash-handling requirements established by the GSAC Office Coordinator.

• Assign and prioritize evening ticket-office work, monitor service delivery, answer staff questions, and ensure completion of assigned responsibilities.

• Respond to evening phone calls, emails, and in-person inquiries regarding ticket sales, upcoming events, payments, fees, accessibility needs, and other ticket-related services.

• Process ticket and miscellaneous-item sales through approved ticketing and payment systems within the position's assigned authority.

• Process or support authorized refunds, exchanges, will-call services, complimentary-ticket distribution, and customer-service resolutions; refer matters outside the position's authority to the GSAC Office Coordinator.

• Oversee night-of-event box-office and gate operations, including timely setup of ticket stock, will-call materials, scanners, equipment, change funds, and other operational resources.

• Confirm scheduled ticket-office and event coverage and address same-day staffing gaps within the position's assigned authority.

• Monitor compliance with established customer-service, ticketing, system-security, and cash-handling procedures.

• Complete assigned nightly sales and cash-balancing processes, safeguard funds and ticketing materials, and secure required documentation in accordance with established procedur es.

• Identify and document cash discrepancies, system problems, customer complaints, staffing concerns, and training needs, and provide timely follow-up information to the GSAC Office Coordinator.

• Provide direct ticketing and customer-service support during high-volume periods, evening events, or employee absences.

 

• Under the direction of the Associate Director, support the planning, coordination, preparation, promotion, and execution of GSAC-led signature, cultural, and large-scale programs.

• Assist with event logistics, including facility reservations, room layouts, equipment, hospitality materials, transportation coordination, catering requests, purchasing documentation, event supplies, staffing needs, and operational timelines.

• Prepare and coordinate event materials, checklists, signage, schedules, and operational communications.

• Assist with the development and distribution of promotional materials for GSAC-led programs, including flyers, digital signage, social-media content, website information, and in-building promotions.

• Serve as the on-site evening operational contact for assigned GSAC-led programs and coordinate facility, ticketing, customer-service, safety, and staffing needs during the event.

• Troubleshoot operational issues and communicate significant concerns, outcomes, and recommended adjustments to the Associate Director.

• Track attendance, participation, operational observations, and guest feedback for GSAC-led programs using established departmental systems.

• Support collaborative or hybrid programs when GSAC and partner-department responsibilities have been defined in advance by departmental leadership.

• Provide daily lead work direction, mentoring, coaching, and support to GSAC student assistants and intermittent hourly employees assigned to ticketing, information services, facility operations, events, recreational areas, and closing responsibilities.

• Assign and prioritize evening work and monitor the timely and accurate completion of assigned responsibilities.

• Reinforce established training, operating procedures, customer-service standards, cash-handling requirements, and safety expectations.

• Provide hands-on guidance to employees responding to difficult customer interactions, event issues, operational concerns, and emergency situations.

• Monitor employee performance during the assigned shift and communicate accomplishments, conduct concerns, procedural issues, and additional training needs to the appropriate coordinator or Associate Director.

• Coordinate with the GSAC Office Coordinator, GSAC Operations Coordinator, and Associate Director regarding staffing coverage, employee support, and operational needs.

• Make same-day work assignments and authorized coverage adjustments necessary to maintain evening operations.

• Provide immediate direction to all building users and event personnel when necessary to address facility safety, emergency response, access, security, or compliance with GSAC building procedures.

• Foster a welcoming, inclusive, and student-centered environment that supports employee development and high-quality service.

 

• Maintain evening shift logs, incident reports, ticketing documentation, facility observations, GSAC-led program participation records, and other assigned operational records.

• Prepare clear written handoffs identifying matters requiring next-day action or longer-term follow-up.

• Assist with updating evening operating procedures, closing checklists, staff resources, customer-service guidance, and event-support documentation.

• Compile information regarding building use, ticket-office activity, staffing, customer feedback, event operations, and GSAC-led programming to support departmental assessment and improvement.

• Identify recurring operational issues or service trends and recommend procedural or resource improvements to the appropriate coordinator or Associate Director.

• Take a lead role in facilitating select departmental trainings while collaborating on the planning and delivery of others, and actively participate in departmental meetings, professional development, and planning activities.

 

• Experience to be fully functional in all technical aspects of work assignments.

• Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures.

• Thorough knowledge of English grammar, punctuation, and spelling.

• Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages.

• Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.

Requirements

1. Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

2. These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

1. Experience working with college students in a university or college environment.

2. Experience supervising and training student or part-time staff.

3. Ability to consistently demonstrate and reinforce the values of caring, respect, honesty and responsibility among participants and guests.

4. Working knowledge of audiovisual systems and event technology.

5. Ability and willingness to occasionally work outside the regularly assigned schedule, including weekends or earlier hours, when required for major events, emergencies, training, or other operational needs.
