PURPOSE OF JOB CLASS (NATURE OF WORK)
In a state agency this class is accountable for the preparation and/or maintenance of payroll, agency accounts, financial statements, cash accounting or other bookkeeping and record keeping functions in an agency.\r\n
EXAMPLES OF DUTIES
Duties of the positions may include, but are not limited to:\r\n\r\n Processes Facility Food orders and other commodity orders;\r\n Processes Maintenance requisitions; editing, verifying coding;\r\n Solicites quotes;\r\n Creates e-pro requisitions;\r\n Creates Direct purchase orders;\r\n Dispatches purchase orders;\r\n Processes Change Orders;\r\n Decommits/add money to purchase orders;\r\n Receives invoices from facilities, match to statements and forward to Accounts Payable for processing;\r\n Enters Receivers in Core-CT;\r\n Follows-up with vendors for open purchase orders;\r\n Assists A/P in obtaining missing invoices;\r\n Processes Special Activity orders as needed;\r\n Assists FAO in resolving vendor related issues;\r\n Prepares STARS or EPM reports;\r\n Assists in preparation of contracts;\r\n Assists in monthly Procurement Card audits; and\r\n Performs related duties as required.\r\n\r\n\r\n
KNOWLEDGE, SKILL AND ABILITY
\r\n \r\n Knowledge of\r\n \r\n basic bookkeeping, accounting, and financial record keeping procedures;�\r\n payroll procedures, financial terminology and coding, statements and budget preparations;�\r\n \r\n \r\n \r\n Skills\r\n \r\n interpersonal skills;\r\n oral and written communication skills;\r\n performing arithmetical computations;\r\n \r\n \r\n \r\n Ability to\r\n \r\n perform general clerical tasks;�\r\n handle large amounts of money;�\r\n operate a variety of office equipment which includes computers, tablets, and other electronic equipment.\r\n \r\n \r\n\r\n
MINIMUM QUALIFICATIONS - GENERAL EXPERIENCE
Two (2) years of clerical experience in accounting, financial record keeping or bookkeeping.\r\n
MINIMUM QUALIFICATIONS - SUBSTITUTIONS ALLOWED
College training may be substituted for the General Experience on the basis of fifteen (15) semester hours equalling one-half (1/2) year of experience to a maximum of two (2) years.\r\n
PREFERRED QUALIFICATIONS
\r\n Experience working in Purchasing;\r\n Experience and knowledge of Accounts Payable process;\r\n Experience with financial systems;\r\n Experience utilizing Microsoft Office Excel, Word and Teams in a professional setting;\r\n Experience with Purchasing/Procurement Cards;\r\n Experience running reports;\r\n Experience multitasking and processing high volumes of work with accuracy; and\r\n Experience communicating and following-up on outstanding issues.\r\n\r\n
SPECIAL REQUIREMENTS
Persons having responsibility for supervising or observing the behavior of inmates or custodial clients will be required to possess a high school diploma or General Educational Development (GED) certification by the time of permanent appointment.\r\n
