Responsibilities

  • Manage all event logistics, including timelines, venue requirements, catering, entertainment, AV production, staffing, transportation, and guest communications.
  • Partner with the Chicago Events team and other global stakeholders where required to coordinate multi-office events (including leadership events) and ensure alignment across locations.
  • Source quotations and manage external suppliers, including sound, lighting, production, entertainment, photographers, and other event-related vendors.
  • Develop and manage event budgets, monitor spend, and ensure all events are delivered within approved financial parameters.
  • Negotiate and manage vendor contracts, ensuring quality service, value for money, and compliance with company policies.
  • Own event registration and RSVP tracking, providing regular attendance updates and post-event reporting to stakeholders.
  • Create engaging event communications, including invitations, save-the-dates, digital signage, promotional materials, and internal marketing content.
  • Manage the sourcing, purchasing, and inventory of DRW branded merchandise ("swag") for events and employee initiatives.
  • Build and maintain strong relationships with internal stakeholders and external vendors, acting as the primary point of contact throughout the event lifecycle.
  • Measure event success through post-event surveys, analyse participant feedback, and present recommendations to leadership to continuously improve future events.
  • Lead and support office employee experience initiatives that enhance workplace culture and engagement throughout the year.
  • Coordinate the onsite massage programme, including scheduling, holiday cover, vendor communication, and invoice management.
  • Coordinate seasonal office decorations and workplace celebrations, ensuring communal spaces are engaging and professionally presented.
  • Support Reception, Workplace, Global Travel Management, Talent, Communications, and other business teams with event-related activities and special projects as required.
  • Remain informed on industry trends and proactively introduce new ideas and best practices to continually enhance DRW's employee events programme.

Requirements

  • Minimum of 4 years' experience planning, coordinating and delivering events within a corporate environment. 
  • Experience researching, negotiating contracts, and working with external vendors. 
  • Experience managing budgets. 
  • Flexibility to work outside of normal working hours and to support company events as well as travel to other office locations outside London on occasion. 
  • Onsite role, 4+ days a week.
