POSITION TITLE: Paralegal Assistant

ACCOUNTABLE FOR: Timely and accurate administrative support of legal workflows, document processing, and legal recordkeeping across all affiliated companies
CLASSIFICATION: Exempt – Independent Contractor / Vendor (Non-U.S., W-8BEN)
COMPENSATION RANGE: Ranges between $7 to $10 per hour

SUMMARY OF POSITION RESPONSIBILITIES
The Paralegal Assistant provides administrative and substantive legal support to the Legal Affairs Division, including the CEO, outside counsel, and other authorized leaders. This role assists with legal document preparation, contract coordination, compliance tracking, legal file management, and litigation support across Enterprise Management and its affiliated companies.
The Paralegal Assistant supports U.S.-based legal workflows including document drafting, case management, client intake coordination, records requests, calendaring, and legal correspondence while maintaining organized records and efficient legal operations in a fast-paced, multi-entity remote environment. The ideal candidate is highly detail-oriented, reliable, technologically proficient, and capable of working independently with strong written English communication skills. Spanish-English bilingual ability is preferred.
SCHEDULED DUTIES AND RESPONSIBILITIES
- Prepare, format, and proofread legal documents including contracts, NDAs, MOUs, amendments, pleadings, correspondence, and compliance certifications
- Assist with preliminary contract and legal document review to ensure completeness, consistency, and adherence to standard templates
- Maintain document control systems including Google Drive, Legal Dropbox, and legal case management platforms
- Organize and maintain legal files including vendor agreements, litigation records, regulatory documents, and corporate records
- Receive, categorize, and route legal correspondence, records requests, and scanned documentation for legal review
- Track contract deadlines, court dates, renewal schedules, and legal obligations using shared calendars and task management tools
- Coordinate internal reviews, signature collection processes, and document routing for legal approvals
- Schedule meetings and maintain communication logs with legal advisors, consultants, clients, and internal departments
- Assist with client intake coordination and documentation gathering processes
- Support records retrieval, document organization, and litigation support activities when required
- Assist with preparing documentation required for regulatory compliance and organizational filings
- Maintain strict confidentiality of all legal, financial, personnel, and client-related records
- Provide remote administrative and operational support while maintaining responsiveness and accountability across multiple time zones
UNSCHEDULED DUTIES AND RESPONSIBILITIES
- Assist with legal research related to contracts, regulations, compliance matters, and case-related documentation
- Support contract review processes and summarize key provisions when requested
- Participate in special legal projects including contract audits, organizational filings, compliance initiatives, and litigation support projects
- Serve as a liaison between internal departments, legal advisors, vendors, and clients when coordinating legal documentation
- Maintain and update legal templates, compliance trackers, intake forms, and internal legal reference materials
- Assist in reviewing filings and documentation for completeness and accuracy prior to submission
- Support internal documentation of legal risk management activities
- Provide administrative assistance to executive staff upon request
- Identify process improvement opportunities in legal document management, workflow automation, and case coordination processes
COMPETENCIES AND SKILLS
- Excellent organizational and multitasking abilities
- Strong written and verbal English communication skills
- Spanish-English bilingual communication skills preferred
- Working knowledge of legal terminology, contracts, litigation support, and regulatory documentation
- Experience supporting U.S.-based legal workflows and administrative legal processes
- Strong attention to detail and commitment to confidentiality
- Ability to review legal documents for structure, completeness, and consistency
- Proficiency in Google Workspace (Drive, Docs, Sheets), Adobe PDF tools, and legal case management software
- Ability to coordinate multiple deadlines, legal processes, and remote communications simultaneously
- Strong sense of accountability, initiative, and task ownership
- Comfortable working independently in a fully remote environment
LEVEL OF EDUCATION / TRAINING / QUALIFICATIONS
- Associate’s degree or certificate in Legal Studies, Business Administration, or a related field (Bachelor’s preferred)
- Paralegal certificate (preferred)
- Minimum 1–3 years of experience in a paralegal, legal assistant, litigation support, or legal administrative support role
- Prior experience supporting U.S.-based legal workflows, attorneys, or regulatory environments strongly preferred
- Experience with legal document preparation, case management, calendaring, client intake, records requests, or litigation support preferred
- Experience using legal case management or legal workflow software preferred
- Strong English language proficiency required
- Spanish-English bilingual ability preferred
- Ability to pass background and reference checks
