Ergon is seeking a highly organized and customer-focused individual to maintain accurate supply chain inventory records for Ergon Solutions Inc. (ESI) by executing and monitoring SAP S/4HANA inventory transactions, tracking product movements, and reconciling inventory across downstream locations. Support reliable product availability, replenishment, blending, and month-end close through timely transaction processing and coordination with S&D, Procurement, Customer Service, Accounting, refineries, terminals, and third-party packagers.

Responsibilities

  • Monitor in-stock inventory and product availability to support Customer Service, blending operations, and bill of materials (BOM) requirements.
  • Reconcile all products at large terminals weekly and at all other terminals monthly. Investigate discrepancies and coordinate resolution with terminal and internal personnel.
  • Process month-end write-offs of downstream terminal inventory variances in S/4HANA in accordance with applicable approval and documentation requirements.
  • Maintain inventory reports and tracking spreadsheets to support inventory decisions and timely execution of product movements.
  • Export scheduled stock transport orders (STOs) and purchase orders (POs) and combine them into a consolidated spreadsheet to maintain visibility of shipments moving to downstream terminals.
  • Maintain STOs for Cross Oil Mexico restocks and coordinate with Procurement on the corresponding PO for each shared restock transaction.
  • Execute manual goods receipts and transfer postings for STO shipments. Complete post-delivery postings to move product from in-transit to in-stock inventory and resolve differences between loaded and delivered volumes.
  • Complete the inventory transactions required to move third-party purchased product from in-transit inventory to available physical stock.
  • Create bills of lading (BOLs) for stock transfers to place inventory in transit. Use the required units of measure, including gallons for HyVolt II and barrels for other movements.
  • Perform BOL reversals and related transaction corrections when required, ensuring inventory records accurately reflect the movement.
  • Create Ship-To requests in S/4HANA and coordinate correction of destination issues when the Ship-To cannot be changed after shipment.
  • Manage restock orders and associated adjustments, including additional processing for split loads that cannot be removed before loading.
  • Complete post-loading updates to the freight lane or individual PO associated with each vessel STO, as required.
  • Enter railcar numbers manually on STOs when they do not transfer from Terminal Manager or Fuel Facts.
  • Send railcar STOs to ERI and EWV so console operators can print the documents and load the railcars.
  • Send standard POs for Cross downstream railcar shipments to Cross for entry into its JDE system.
  • Perform blend order true-ups and settle blend volumes in S/4HANA, including obtaining and entering the density information required to close transactions.
  • Process third-party drum and tote subcontracting transactions, including restock orders to source product, subcontracting POs, and goods receipts.
  • Complete manual invoice coding for transactions assigned to the inventory specialist.

Requirements

  • High school diploma or GED required.
  • Three (3) or more years of experience in supply chain, logistics, procurement, inventory management, manufacturing, customer service, or a related operations environment.
  • Exceptional attention to detail and accuracy in inventory records, shipment documentation, and transaction processing.
  • Strong organizational and time management skills, with the ability to manage competing priorities and meet shipment and month-end deadlines.
  • Strong analytical and problem-solving skills, including the ability to investigate inventory discrepancies and resolve transaction issues.
  • Proficiency in Microsoft Office, including Excel and Word; ability to combine data exports, maintain tracking spreadsheets, and prepare inventory reports.
  • Effective written, verbal, and interpersonal communication skills.
  • Ability to coordinate work across departments and maintain effective relationships with terminals, refineries, and external service providers.
  • Ability to learn and effectively utilize ERP systems, preferably SAP.
  • Associate's or Bachelor's degree in Supply Chain Management, Business, Logistics, Operations Management, or a related field.
  • Experience working in a manufacturing, refining, chemical, petroleum, or industrial environment.
  • Experience using SAP S/4HANA or a similar ERP system for inventory movements, stock transport orders, goods receipts, and reconciliation.
  • Knowledge of transportation, inventory management, procurement, and production planning processes.
  • Experience with terminal inventory reconciliation, month-end inventory close, and investigation of inventory variances.
  • Experience coordinating cross-functional operational activities involving procurement, production, customer service, and logistics.
  • Demonstrated commitment to continuous improvement and operational excellence.
