Position Summary:
GLIDE’s Facilities Assistant Manager supports both the Director of Facilities and Operations and the Senior Operations Manager to coordinate the maintenance, cleanliness, and construction of facilities, upkeep grounds and equipment, maintain a welcoming, clean, safe, and upbeat environment throughout all Glide locations, and actively manages the Zendesk queues/staff dispatch to ensure excellent performance. This person works with the operations management team to help plan, budget and schedule facility modifications and to ensure compliance with government health and safety standards at all GLIDE facilities. 
The Facilities Assistant Manager is considered a first responder in the case of emergency/disaster and must respond to urgent situations. This person must be willing and able to periodically work non-traditional hours (nights, holidays and weekends).
  • Oversees the work of two - three building maintenance technicians and janitors, which cover services across all GLIDE properties.  
  • You will organize, monitor and supervise facility maintenance operations and staff. 
  • Ensure all GLIDE’s building systems including heating and ventilation, electrical, plumbing, off-site storage, janitorial services, waste disposal and recycling, etc., are operational and in compliance with all regulatory standards.
  • Plan, prioritize, assign, supervise, review, and participate “hands-on” in the work of staff responsible for facilities cleanliness and maintenance.
  • Coordinate with contractors in providing contract services. Assist in the preparation of various contracts, requests for proposals and reports.
  • Identify issues, options, and recommendations to maintain Glide’s facilities in the most cost-effective manner. 
  • Research and recommend solutions; research and recommend vendors; obtain 3 competitive bids as a routine habit when soliciting vendors for work at Glide.  
  • Coordinate all work with strategic plan priorities, departmental priorities, and affected staff; ensure timely communication of any disruption to GLIDE’ services, as well as proactive problem-solving.  
  • Ensure work by staff/contractors has been completed satisfactorily. Follow-up on issues/problems.
  • Monitor and control supplies and equipment. Order supplies and tools as necessary; stock inventory; manage warehouse and all storage, including storage and supply closets across the Glide campus.  
  • Assist with addressing all environmental issues to ensure health and safety and minimize liability. Help ensure buildings and facilities staff compliance with government health and safety standards.
  • Help drive the development of goals and objectives for maintenance technicians; participate in the development of policies and procedures for the department. Assist with recommendations for changes and improvements to existing standards, policies, and procedures. 
  • Contribute to and assist in maintaining GLIDE’s preventive and deferred maintenance programs and Facilities Operations Manual and help monitor compliance with both.
  • Liaise with staff at all locations to assist in the coordination of contracts, planning and prioritization of capital projects, and alignment of goals and deadlines; use the meeting invitation system to schedule meetings and check-ins with appropriate notice. 
  • Assist with the processing of invoices and participate in the preparation and administration of the facility maintenance budget. Offer budget recommendations, and justifications for equipment.
  • Drive the facilities ticketing system; ensure facilities staff record, track and document service requests. Review operational reports to ensure the department meets goals.
  • Assist in the maintenanceof GLIDE’s Fleet and the Fleet Safety Program to prevent injury, vehicle liability, and physical damage.
  • Meet professional obligations through efficient work habits such as adhering to work schedules and project timelines, meeting deadlines, honoring agreements, attending and actively participating in staff and individual meetings, training, and workshops. 
  • Maintain a clean and orderly work environment, free of food, clutter, or strong scents. 
  • Present oneself with professionalism, including speaking clearly, making eye contact, and treating colleagues with courtesy.  
  • Other duties assigned to support Glide’s Operations.  
  • Hands-on expertise in at least one area of building trades and/or construction.   
  • Excellent analytical and problem-solving skills. Ability to look at a lot of different information and make decisions based on needs and budget concerns. 
  • Attention to Detail. Quality control is a large part of the job. Making sure cleaning, upkeep and safety standards are maintained, or efficiencies are discovered, is key. 
  • Adaptable—adapts to changes in the work environment, manages competing demands and is able to deal with frequent change, delays or unexpected events. 
  • Ability to manage multiple priorities and meet established schedules and deadlines. Prioritizes and plans work activities and uses time efficiently. 
  • Excellent interpersonal and verbal skills and is effective working across all cultures. 
  • Demonstrated ability to work well under pressure and manage stress effectively in a demanding and fast paced environment. 
  • Outstanding verbal communication skills are essential, including the ability to deal with a wide variety of callersclients and staff. 
  • Strong written communication skills required. Must be able to write clearly and concisely. Proficiency in grammar and spelling required.  
  • Ability to present issues, options, and recommendations in a concise and efficient manner.  
  • Ability to direct the work of others by generating standard supervisory tools, including project plans, punch lists, check lists, and performance reviews.  
  • Commitment to the mission, values, and philosophy of GLIDE.  
  • High School Diploma/GED and 3+ years’ progressively responsible related experience in management of facilities or any equivalent combination of education, experience and training. 
  • Experience managing all aspects of large buildings and related systems and equipment to include:  strong knowledge of the diverse trades, skills and building codes necessary to maintain and improve building facilities and functions, working with projects that require specialized knowledge of engineering drawings and designs, safety functions and applicable building codes, managing and administering preventive and deferred maintenance programs, managing building emergencies, managing the financial aspects of a variety of contracts and supervising staff;  
  • Strong knowledge of safety procedures and legal requirements. Familiarity with ADA issues.  
  • AED, CPR, First Aid, and NERT trained desired.  
  • The demands for this role require a lot of standing and walking required, stamina and a high energy level are essential;  
  • Vision / Hearing corrected in normal range. 
  • Ability to use standard office equipment and access, input, and retrieve information from a computer. Ability to use computer keyboard with manual and finger dexterity and wrist-finger speed sufficient to perform repetitive actions efficiently for extended periods of time. 
  • Must possess the strength, stamina and mobility to stand and walk (4 hours) come and go from the work area repeatedly, and climb multiple flights of stairs repeatedly in a given shift. Able to move about. Able to move quickly to address emergencies or potentially dangerous situations. 
  • Ability to perform physical activities that require considerable use of arms and legs and moving the whole body, such as lifting, balancing, stooping, and handling of materials. 
  • Trunk Strength. Has the ability to use abdominal and lower back muscles to support part of the body repeatedly or continuously over time without ‘giving out’ or fatiguing. 
  • Uses hands and arms to handle, install, position, move materials, and manipulate things;  
  • Must possess the ability to independently and safely lift and move materials and equipment weighing up to 50 pounds and heavier weights with the use of proper equipment or assistance from other employees.  
  • Ability to work on a computer and see details of objects at close range.   
  • Ability to hear within normal range, and communicate effectively (in person, telephone or zoom).   
  • Finger dexterity and the ability to use all standard office equipment.   
  • Sit or stand comfortably; and the ability to navigate throughout office spaces (via elevator or stairs). 
  • Work Environment
    GLIDE’s buildings are located in the Tenderloin neighborhood.  GLIDE maintains an "open door" policy to the community and its clients, who frequently enter and leave the building.
