The Client Coordination Associate is a critical member of the client support team for high-net worth and ultra-high-net worth families, philanthropies and their staff. This role is primarily focused on philanthropy, supporting large, innovative and complex grantmaking programs and the full lifecycle of philanthropic activity for ICONIQ clients. The Associate sits within Investment Management which strives to deliver exceptional investment portfolios by harnessing the differentiated capital and strategic strength of the ICONIQ community.

 

Responsibilities

  • Serve as the operational backbone of a high-volume grants program including owning daily maintenance of grant trackers, statuses, and program records; proactively update procedures and workflows; and act as a primary point of contact for team and grantee inquiries and process training for junior staff.
  • Drive end-to-end document preparation and execution for a broad range of philanthropic agreements, including grant agreements, scholarship awards, contracts, and associated legal documents.
  • Liaise directly with grantees, external advisors, and service providers to coordinate review and execution of grant agreements and other philanthropic legal documents, in close partnership with client team members.
  • Maintain comprehensive and organized records across all grant activity, including electronic filing and management of executed documents and correspondence.
  • Provide operational and administrative support across a complex, high-volume philanthropic client relationship, with a primary focus on grants program administration and day-to-day team needs.
  • Support additional client projects and internal team processes on an as-needed basis.

 

  • Bachelor's degree and 6+ years of relevant industry experience; prior experience processing grants, working directly with grantees, and knowledge of philanthropic entities (foundations, donor-advised funds, and similar organizations) strongly preferred. Experience in a family office, wealth management, or nonprofit context is a plus.
  • Exceptional organizational skills, rigorous attention to detail, and demonstrated ability to independently lead and update procedures, maintain accuracy across complex workflows, and organize high volumes of documentation.
  • Excellent interpersonal and communication skills, with the ability to answer questions clearly, train colleagues and grantees on processes, and serve as a reliable resource for the team.
  • Demonstrated ability to work cooperatively and collaboratively with all levels of employees across multiple offices to exceed clients' expectations.
  • Familiarity with AI tools and technologies is a plus. We value team members who are curious about leveraging AI to enhance productivity, streamline workflows, and drive innovation.
