Position Summary:

KCR Community Resources is seeking an Intake and Admissions Worker to join our Settlement Services team. In this role, you will be the first point of contact for participants, greeting and assessing needs, completing intake processes, and connecting individuals to the right programs and resources. You will also oversee the Resource Centre, support translation service coordination, and assist with workshop registration and office operations. This is a temporary leave coverage position and plays a vital role in ensuring every participant feels supported from the very first interaction and has clear pathways to thrive in our community.


Reporting Structure: Reports to Client Supports Coordinator

 

Prime Functions:

Assisting in the delivery of effective KCR Settlement Services

  • Greets, assesses and directs all incoming calls &/or in person requests to appropriate staff
  • Demonstrates knowledge of eligibility requirements; Accurately and sensitively communicates criteria to participants
  • Hands out appropriate participant intake forms, assists with completion as required, issues client ID numbers for all new clients, and refers all new screened participants to internal Settlement Services and external services based on eligibility and needs
  • Provides and maintains an effective, well organized reception area
  • Manages Resource Centre; assists participants using computers
  • Assists with translation service coordination including: responding to inquiries, collecting payments, invoicing, managing drop off and pick-up of documents, and mailing of documents
  • Maintains registration list for upcoming, scheduled workshops
  • Handles all incoming deliveries, signing off and directs to appropriate departments
  • Sorts and distributes daily incoming mail and processes outgoing mail
  • Provides support and coordination for all office equipment
  • Orders all program delivery supplies

Participates as a proactive member of the Immigrant Services team

  • Works collaboratively as a team member on information updates and problem resolutions and participates in team meetings on an ongoing basis
  • Assists in identifying gaps and issues in the delivery of initial, front desk services
  • Assists in short and long term KCR planning
  • Maintains positive relationships with key stakeholders
  • Participates actively in professional development opportunities
  • Provides IT support as needed

Maintaining and documenting accurate data 

  • Generates and submits monthly activity reports to Immigrant Services Manager as required
  • Ensures that all information files are maintained and disposed of in a secure fashion

Qualifications:

  • Completion of an Office Administration course or three years of experience
  • Knowledge of community resources and agencies, including professional and specialized services for at-risk or marginalized populations, and how to use those resources for the benefit of the participants
  • Excellent interpersonal, cross-cultural, written and verbal communication skills
  • Demonstrate computer proficiency including MS Office; Confident with basic accounting tasks
  • Ability to prioritize work
  • Organized and able to multi-task; Excellent time management skills
  • Ability to assert yourself and deal with difficult situations when necessary as per KCR policies and procedures
  • Ability to set boundaries and self-care (e.g. knowing the boundaries – financial, personal, medical, legal, conflict of interest, confidentiality, etc.)
