The Program Coordinator I is responsible for providing administrative, operational and programmatic support services to research program of the Brookdale Department of Geriatrics and Palliative Medicine, including two NIH-funded program.

  • Provides operational and administrative support to the research program, including:
    • Establishing and managing data use agreements, consulting agreements, and other research related contracts
    • Preparing, submitting, and maintaining Institutional Review Board (IRB) protocols, including amendments, continuing reviews, and study documentation
    • Tracking publication output, and ensuring compliance with public access requirements
    • Managing website and intranet pages
    • Scheduling meetings and conferences, and organizing site visits
    • Preparing presentation slides and other program materials
    • Securing purchase orders, submitting invoices, ensuring their timely payment, and facilitating subject fee disbursements
    • Preparing and submitting travel and reimbursement requests
    • Requesting IT system access and equipment provisioning for program staff
    • Facilitating secure data management for research studies by requesting protected folders and managing access
  • Demonstrates continuous efforts to improve support operations and systems, to streamline work processes and to increase the effectiveness and efficiency of the program. 
  • Serve as liaison with personnel across departments and study sites to coordinate program activities, accomplish program objectives, and ensure resources are used effectively.
  • Establishes tracking systems to monitor deliverables of grant-funded programs
  • Coordinates and assists with the development of grant reports
  • Perform other duties as needed
  • Bachelors Degree or an equivalent combination of education and/or experience may substitute for the degree when the experiences are closely related to the duties of the job.
  • None required, but 1-2 years administrative experience preferred
