Open New York (ONY) is a statewide nonprofit fighting for a New York that makes room for every New Yorker. We engage residents from Westchester to Windsor Terrace, building a powerful coalition of advocates for housing affordability. About the Role

Open New York is looking for an Operations Manager to help keep the organization running smoothly as it grows. Reporting to the COO, this role serves as the central point of organization for ONY's day-to-day operations, including finance, HR, and administration, and executive support. This is a great fit for someone with solid operations experience who is highly organized, enjoys building better systems, handles sensitive information with care, and wants to be a trusted resource for staff at a mission-driven organization.

Own and execute the day-to-day operational work that keeps Open New York running effectively, including:

  • Serve as a central point of coordination for organizational operations and administrative needs, ensuring that recurring operational processes happen reliably and on schedule.
  • Maintain organizational calendars, deadlines, trackers, documentation, and internal systems.
  • Coordinate office operations, supplies, equipment, technology needs, vendors, and facilities.
  • Manage operational logistics for staff meetings, retreats, events, and other organizational activities.
  • Coordinate with external vendors and service providers and ensure that deliverables, contracts, invoices, and follow-up are handled appropriately.
  • Develop and improve systems, templates, checklists, and workflows that make the organization more efficient and consistent.

Support the COO in making Open New York a well-run and well-supported workplace:

  • Coordinate core employee lifecycle processes, including onboarding, offboarding, benefits administration, leave tracking, and personnel documentation.
  • Help maintain accurate and up-to-date employee records and HR systems.
  • Coordinate benefits enrollment and serve as a point of contact for routine employee questions and administrative needs.
  • Help ensure organizational policies are clearly communicated and consistently implemented.
  • Support the administration of performance management, professional development, and other people processes.
  • Help ensure compliance with applicable employment and workplace requirements, in coordination with the COO and external advisors.
  • Serve as a responsive and trusted resource for staff navigating organizational systems and processes.

Work closely with the COO and outsourced finance team to ensure that financial and administrative processes function smoothly:

  • Coordinate routine accounts payable and expense processes, including collecting documentation, routing approvals, and following up on outstanding items.
  • Coordinate with staff and external finance partners to resolve routine administrative and financial questions.
  • Maintain organized records and documentation.
  • Support budgeting, audit, tax, insurance, and other annual administrative processes as needed.
  • Help ensure that recurring filings, renewals, payments, and compliance deadlines are tracked and completed.

Provide high-level administrative and coordination support to the COO and Executive Director, with an emphasis on making their work more efficient rather than simply managing calendars:

  • Manage and coordinate select executive calendars, meetings, and scheduling logistics.
  • Prepare agendas, briefing materials, meeting documents, and follow-up trackers.
  • Help ensure that action items and commitments coming out of leadership meetings are captured and followed through.
  • Coordinate logistics for external meetings, events, and stakeholder engagements.
  • Help the COO and Executive Director stay ahead of important deadlines, meetings, and organizational priorities.
  • Handle sensitive information and executive matters with discretion and good judgment.
  • Take ownership of administrative tasks that would otherwise distract senior leaders from higher-value organizational work.
  • 4 to 6 years of experience in operations, administration, HR, office management, executive support, or a related field, including time owning processes or systems rather than only supporting them
  • A track record of managing many moving pieces, deadlines, and recurring processes independently
  • Experience designing and improving systems, workflows, or templates that others rely on
  • Clear, friendly written and verbal communication, and comfort serving as a go-to resource for staff and a thought partner to senior leaders
  • Discretion and good judgment with confidential information, including personnel, financial, and executive matters
  • Working knowledge of HR processes such as onboarding, benefits administration, leave tracking, and personnel records
  • Experience with accounts payable, expense processes, or coordinating with outside finance or audit partners
  • Comfort with spreadsheets, shared drives, and cloud-based tools. Experience with platforms like Gusto or Ramp is a plus.
  • Close attention to detail, especially with records, invoices, and compliance deadlines
  • Ability to prioritize competing demands, make sound decisions on routine matters, and know when to bring issues to the COO
  • Commitment to ONY's mission of building more housing and making New York more affordable and welcoming for everyone

This a full time, exempt position, with a salary range of $90,000 - $110,000, depending on the successful candidate’s location and experience. The position is based in New York City and ONY operates as a hybrid team, with three days per week in our office in Lower Manhattan.
