Responsibilities
~3 min read- →Responsible for presenting the Club to prospect members - highlighting benefits, levels and descriptions of membership classifications available and ensuring that potential members under contract submit all necessary documents and information needed to be approved for membership at the Club.
- →Responds to member and stakeholder requests and resolve issues and concerns in a timely, friendly, and efficient manner.
- →Monitor, assess, and respond to member feedback and present satisfaction trends and opportunities for enhancements to the Membership Director.
- →Provide property tours as needed for prospect members and existing members interested in upgrading their membership level.
- →Protects Owner assets and maintains the integrity of the Membership Plan by upholding all policies, rules, and regulations at all times in a compassionate and hospitable manner.
- →Partners with real estate managers and associates to ensure pertinent membership information and changes in policy & procedures are communicated in a timely fashion.
- →Manages all inquiries and requests from existing members including upgrade opportunities, dues option changes available, property transfer opportunities available for multiple property owners, etc.
- →Acts as a liaison between Members and Club Operations, provides feedback as needed to Operational Leaders.
- →Assists with planning and execution of new Member event experiences including on-site attendance at each experience.
- →Ensures all Member details and changes are accurately entered into various management systems in a timely manner; maintains and tracks pertinent information for the department in producing month end reporting and revenue.
- →Responsible for receiving and processing all new sales contracts from both internal and external real estate agents and verifying Membership options available on each property as well as communicating Membership levels available for purchase within the established Membership Plan parameters.
- →Maintains accurate Membership files, both digital and hard copy ensuring that data entry and tracking is consistent with department guidelines.
- →Responsible for all Membership closings including but not limited to: Collecting necessary forms and deposits, sales closing documents, welcome and onboarding experience be it digital or in person as well as post orientation follow-up.
- →Processes all terminated Memberships / accounts as associated with the properties that have closed as associated with the signed transaction including notification to the closing parties and appropriate tracking of terminations in Jonas and EOM reporting.
- →Collects and communicates to Marketing new Member photos and details to be included in the WeeklyLink internal newsletter.
- →Provides accounting with timely turnover of all deposits & upgrade fees, etc.
- →Partners compassionately with surviving spouses and family members regarding Membership options in the event of the death of a Member, estate planning, and assists Members with options in the event of divorce.
- →Assists the Membership Director in all other special projects, as assigned.
Requirements
~1 min read- Bachelor’s Degree or equivalent work experience.
- Minimum of 5 years of experience in hospitality, planning, or similar industry; club, hotel, resort sales or membership experience preferred.
- Exceptional time management and organizational skills; polished verbal and written communication required.
- Experience and comfortability in working with multiple software platforms, imputing large quantities of data with minimal to no errors, and comfortable with a heavy balance of customer engagement and heavy task related data entry in a multitude of systems.
- Exceptionally strong customer service; ability to communicate with Members in a gracious and professional manner with a passion and history of establishing positive long term relationships with team members, stakeholders, and clients.
- Team player approach, experience working in a team environment preferred.
This is an in-office position with opportunity to work varied hours based on business levels and Member availability. Evenings, weekends, and possible holidays are required at times in addition to regular business hours. Standard business hours are currently set as 8:00am to 5:00pm Monday – Friday.
