Procurement Onboarding Manager

The Procurement Onboarding Manager owns the end-to-end vendor onboarding experience for newly affiliated clinics, ensuring a seamless transition into Smile Doctors’ Accounts Payable operations. This role serves as the primary liaison between clinic teams and corporate finance, driving adoption, compliance, and operational excellence across vendor setup, payment workflows, and system integration How you’ll make us better:   Serve as the primary point of contact for newly affiliated clinics throughout vendor onboarding, driving accountability across internal and external stakeholders Provide clear, proactive communication to ensure clinics are supported while reinforcing standard processes and expectations Compile and maintain complete vendor profiles, including purpose, documentation, and system access, ensuring proper controls and data integrity Track onboarding progress using standardized tools, ensuring visibility, timely completion, and proactive issue resolution Guide clinics through Workday onboarding, ensuring accurate setup, approval routing, and successful execution of initial payments Identify and resolve onboarding issues such as missing documentation, banking validation, workflow gaps, escalating as needed Coordinate vendor credit applications, ensuring accuracy and timely completion Ensure accurate vendor setup, including proper 1099 classification and compliance with company policies Partner with Accounts Payable leadership to continuously improve onboarding processes, controls, and standards Support change management efforts to ensure smooth transitions with minimal disruption to clinic operations Identify trends, risks, and improvement opportunities within onboarding and early payment cycles Provide reporting and analysis as needed Partner with Procurement to align vendor onboarding with Smile Doctors’ procurement strategy for newly affiliated clinics Build relationships with preferred vendors to ensure a seamless transition experience Identify opportunities to transition clinics to preferred vendors to drive standardization, cost optimization, and efficiency Evaluate existing clinic vendor relationships and recommend alignment or transition plans Support onboarding into Smile Doctors’ procurement systems and processes This role requires use of approved AI tools to perform assigned tasks more efficiently and effectively Intermediate knowledge of Microsoft Office, including Excel, Outlook, and Word Intermediate knowledge of Workday Financials or similar ERP system Familiarity with procurement principles, vendor standardization, and supplier lifecycle management   Your special skills:  Strong oral and written communication skills Strong customer service skills Strong organizational and problem-solving skills   Prerequisites for success: High School diploma required; Associates degree preferred Five (5) years of accounts payable and vendor administration experience in a corporate or shared services environment required Experience with process ownership, vendor onboarding, Accounts Payable operations, and 1099 preparation and/or compilation required We saved the best for last.
