We are a fast-growing law firm specializing in criminal defense, immigration, and family law. As our team and caseload expand, we are looking for an experienced Automation and AI Implementation Specialist to streamline our operations, eliminate repetitive administrative tasks, and integrate cutting-edge AI tools into our day-to-day legal workflows.
In this role, you will work directly with our internal teams—from intake to attorneys—to analyze existing operational bottlenecks, design custom automated processes, and train staff on AI adoption. You will serve as the bridge between legal workflows and modern tech solutions to help our team operate faster, smarter, and with greater efficiency.
Key Responsibilities
- - Work as a self-starter: proactively find problems and inefficiencies across the firm, think outside the box, and propose solutions on their own without waiting to be directed.
- - Meet one-on-one with each employee, and shadow them where needed, to understand how they work day to day. Then identify where AI and automation can streamline or eliminate manual steps.
- - Work within our existing software stack, mainly Clio (case management and billing) and Lawmatics (CRM), plus Zapier, Dialpad and Google Workspace. Design, build and maintain automations across these systems.
- - Advise on new software when our current tools aren't the right fit.
- - Stay current on the major AI models and tools (Claude, ChatGPT, Gemini and others), and recommend which options would best increase efficiency at the firm.
- - First priority is our billing department: cut down the manual work involved in drafting and sending hourly invoices.
- - Roll out AI tools across our admin team and immigration department. Train staff on them and document the new workflows so they stick.
- - Track results, such as time saved and errors reduced, and report progress to leadership regularly.
What We’re Looking For
- 3 years prior Deep experience with AI, specifically helping law firms bring AI into their day-to-day workflows.
- Someone who will meet with each of our employees, assess how they work, and identify where AI can streamline or improve those workflows.
- Strong familiarity with Lawmatics (our CRM) and Clio (our case management system).
- Hands-on experience building automations.
