Role:  Capital Operations Specialist — Service

Priority Location: Latin America and Philippines

Working Hours: 8AM - 5PM (Mon - Fri) US Pacific Time

Salary Range: $2,000 - $2,500 USD per month (The final offer is at the client’s discretion and depends on the candidate’s interview result, skills, and experience.)

About the Role: 

You will be the fully dedicated service coordinator for a multi-state radiation oncology equipment fleet of roughly 105 units across the US. This is the department's front line for keeping machines running: you own the service cycle end to end, from the moment a clinic reports an issue through to a confirmed, closed-out repair. You will be the single, standardized intake point for the fleet and to build the service record inside the department's new system of record.

 

Key Responsibilities:

  • Own service intake. Serve as the single point of contact for equipment issues.
  • Coordinate vendors. Manage dispatch and scheduling across the fleet's service vendors, each of which is engaged differently, and drive each ticket to a confirmed completion.
  • Run the ticket lifecycle. Log, track, and close out every service event in the system of record, capturing problem, serial number, site, contacts, and resolution so the history lives on the platform.
  • Schedule and confirm. Coordinate engineer visits against clinic availability, confirm repair completion, and keep clinical staff informed of status.
  • Surface data and risk. Track time-to-resolution and recurring faults, flagging machines that are failing repeatedly so the department can move from reactive to planned replacement.
  • Document the process. Help build and maintain the service SOP library so the workflow is repeatable and transferable, not person-dependent.
 

Engagement & Requirements:

This is a full-time, remote contractor position. We are hiring across Latin America and the Philippines.

Candidates from either region are welcome; all requirements below apply equally.

  • Working hours: Substantial daily overlap with U.S. Pacific business hours is required.
  • English proficiency: Professional written and spoken English is essential; this role coordinates directly with U.S. clinical staff and equipment vendors.
  • Tooling: Comfortable in project and operations software (Monday.com in use today; a CMMS platform, Oxmaint, is being adopted as the system of record). Able to learn new systems quickly.
  • Setup: Reliable high-speed internet and a professional remote working environment.
 

Qualifications and Skills:

The core requirements are what a candidate must bring on day one. The additional strengths are meaningful advantages but can be developed on the job.

 

Core requirements (must-have)

  • Demonstrated coordination or dispatch experience managing many concurrent requests without dropping details
  • Rigorous attention to accuracy, able to trace every reported fact to its source and resist filling gaps with assumptions
  • Strong organization and follow-through; comfortable chasing third parties to closure
  • Clear, confident communicator able to align clinical and vendor stakeholders
  • Comfortable adopting and enforcing a ticketing / CMMS system
 

Additional strengths (nice-to-have)

  • Healthcare, clinical operations, or medical-equipment service experience
  • Familiarity with field-service or dispatch environments
  • Experience building SOPs and repeatable processes
  • Exposure to Monday.com or a CMMS platform
 

Compensation:

Compensation is a blended monthly USD band applicable across both hiring regions, structured with the potential to step up over time based on performance. Increases are tied to performance reviews and are not automatic — advancement to the next level occurs only where performance supports it.

  • Year 1(starting): $2,000 - $2,500 / month 
  • Year 2 (up to): $2,500 - $3,000 / month
  • Year 3 (up to): $3,000 - $3,500 / month
