Because private aviation runs around the clock, the company is expanding its flight operations team to remove capacity bottlenecks and move toward full 24/7 coverage. This role is a key part of that expansion, ensuring clients receive fast, polished, five-star support no matter what time their flight departs.

We are seeking a Flight Operations Coordinator to support private jet bookings and active trips during the overnight hours, serving as a reliable point of contact for clients and charter operators while much of the team is offline.
This individual will coordinate booking requests and confirmations with operators, communicate trip details and updates to clients, monitor upcoming and active flights, and respond quickly when schedules change, flights are delayed, or issues arise. The coordinator plays a critical role in protecting the client experience, making sure every traveler feels informed, supported, and confident from booking through landing.
The ideal candidate is a calm, articulate, and highly organized professional with indistinguishable U.S.-level English fluency, who thrives in a fast-paced environment and is comfortable working with demanding, high-net-worth private jet clients.
Responsibilities
~1 min read- Serve as the overnight point of contact for private jet clients across phone, email, chat, and text.
- Deliver a polished, five-star client experience with clear, natural, and confident U.S.-level English communication.
- Respond promptly to client inquiries about bookings, itineraries, aircraft, and flight details.
- Handle demanding or time-sensitive client requests with a calm, professional, and solution-focused approach.
- Keep clients informed of any schedule changes, delays, or updates as soon as they occur.
- Process incoming booking and charter requests and coordinate availability and confirmation with charter operators.
- Confirm trip details such as departure times, airports, aircraft, and passenger information with both clients and operators.
- Communicate client needs and special requests to operators accurately and on time.
- Follow up with operators to keep pending requests moving toward confirmation.
- Monitor upcoming and active flights during the overnight shift to make sure trips run smoothly.
- Respond quickly to delays, cancellations, aircraft changes, or other disruptions.
- Help clients rebook or find alternative options when an operator cancels a flight.
- Escalate urgent or complex issues to the appropriate team members with complete context.
- Accurately document client communications, booking details, and trip updates in internal systems.
- Keep booking records and trip statuses up to date in real time.
- Prepare clear shift handoff notes so the incoming team can pick up open items without delay.
- Identify recurring client issues or process gaps and share them with the team.
Requirements
~1 min read- 2–5 years of experience in flight operations, travel coordination, concierge services, client support, or a related high-touch customer-facing role.
- Indistinguishable U.S.-level English fluency, both written and verbal, with a natural and professional communication style.
- Calm temperament and the ability to stay composed while handling demanding, high-expectation clients.
- Strong attention to detail when managing times, dates, airports, and passenger information.
- Ability to manage multiple bookings, requests, and priorities at the same time.
- Strong problem-solving skills and the ability to make sound decisions under time pressure.
- Comfortable working independently during overnight hours with limited real-time supervision.
- Reliable high-speed internet connection and a quiet, dedicated remote workspace equipped with a professional headset.
- Availability to work full-time, Monday–Friday, 11:00 PM – 7:00 AM Pacific Time.
- Previous experience in private aviation, charter operations, airline operations, or luxury travel.
- Experience supporting VIP, executive, or high-net-worth clients.
- Familiarity with private jet terminology, aircraft categories, and charter booking processes.
- Experience working overnight or graveyard shifts.
- Experience with flight tracking tools, CRM platforms, or booking management systems.
Candidates should be comfortable working with or quickly learning:
- Booking and marketplace management platforms
- CRM and client communication systems
