Our client is a boutique residential property management company based in Northern Virginia managing approximately 150 residential properties in one of the strongest rental markets in the country. The company has been built organically over the past 10 years by a hands-on owner/operator who has grown the business independently, one property at a time, without building a large internal team.

Their portfolio is intentionally high quality, focused on well-qualified tenants and professionally maintained homes. The business maintains an exceptional operational track record, including 0% evictions and 0 late-payment issues across the portfolio.

The owner is a licensed realtor and experienced operator who has created highly efficient systems and workflows across leasing, tenant onboarding, maintenance coordination, and property operations. As the business continues to evolve, they are entering an exciting transition period as the company prepares to move from a franchise model to an independent operation over the next year

About the Role: 

We are seeking a full-time remote Property Management Operations Assistant with prior residential property management experience to support leasing coordination, maintenance administration, vendor communication, and day-to-day operational workflows.

This person will work directly with the owner and gradually take ownership over many of the repeatable administrative functions within the business.

The right candidate will be proactive, organized, detail-oriented, and comfortable operating in a fast-moving environment where responsiveness and follow-through matter.

This is a long-term opportunity for someone looking to grow with a stable and entrepreneurial real estate business.

 

Key Responsibilities:

Leasing & Listing Coordination

  • Coordinate professional photography scheduling and property readiness
  • Create and manage property listings across MLS, Zillow, and other listing platforms
  • Assist with tenant inquiry management and pre-screening workflows
  • Coordinate application follow-up and leasing documentation
  • Send lease agreements and supporting documents for signatures
  • Track lease execution, deposits, renters insurance, and onboarding items
  • Maintain accurate tenant and property records throughout the leasing lifecycle
 

Maintenance Coordination

  • Monitor and manage maintenance tickets inside Rentvine
  • Dispatch maintenance requests to vendors and coordinate follow-up communication
  • Track maintenance progress and ensure issues are resolved promptly
  • Communicate professionally with tenants regarding maintenance updates
  • Organize invoices and supporting documentation for accounting and broker processing
  • Help ensure smooth maintenance workflows across the portfolio
 

Administrative Operations

  • Manage recurring operational and administrative tasks
  • Coordinate scheduling and communication across vendors, tenants, and internal workflows
  • Maintain organized documentation and digital records
  • Assist with process documentation and operational improvements
  • Support seasonal leasing volume increases during peak months
  • Help create operational consistency and reduce administrative burden on the owner
 

Required Skills & Experience:

  • Prior experience working in residential property management
  • Excellent written and verbal English communication skills
  • Strong organizational skills and attention to detail
  • Ability to manage multiple moving parts simultaneously
  • Comfortable working independently with minimal oversight
  • Strong follow-through and proactive communication habits
  • Experience coordinating vendors, tenants, and operational workflows
  • Ability to quickly learn existing systems and processes
 

Preferred Skills & Experience:

  • Experience using Rentvine or similar property management platforms
  • Familiarity with MLS and Zillow listing workflows
  • Experience handling lease administration and tenant onboarding
  • Experience coordinating maintenance dispatch and vendor communication
  • Prior experience supporting U.S.-based property management companies
  • Remote work experience supporting entrepreneurs or owner/operators
