The Supply Chain Coordinator is responsible for managing purchase orders, coordinating U.S. import shipments, and ensuring timely and accurate delivery of goods from vendors to warehouse. This role oversees the end-to-end inbound logistics process, including vendor follow-up, customs coordination, shipment tracking, inventory monitoring, and internal communication to minimize delays and supply risks.
Responsibilities

Manage purchase orders from issuance through warehouse receipt

Follow up with vendors on committed ship dates and quantities

Confirm shipped quantities match PO commitments

Reconcile vendor invoices against purchase orders and shipped quantities

Coordinate import documentation with customs broker (commercial invoice, packing list, BOL, ISF, etc.)

Ensure ISF (10+2) filings are completed before vessel departure
-
Coordinate additional agency requirements when applicable (e.g., U.S. Fish & Wildlife, Lacey Act, TSCA, etc.)

Track ocean shipments from ETD through customs release and final delivery

Review 7501 entry summaries and ensure duties/tariffs are applied correctly (301 / 232 when applicable)

Run reorder and inventory reports in NetSuite

Monitor inbound supply against demand needs

Maintain accurate expected arrival dates in the system

Communicate internally regarding delays, shortages, or risks

Follow up with customers when special order items arrive

Experience coordinating U.S. import shipments

Experience working with NetSuite
-
Experience working with U.S. customs brokers
-
Experience managing purchase orders and vendor follow-up

Understanding of Incoterms (FOB, CIF, DDP, etc.)

Strong Excel skills
-
Highly detail-oriented, process-driven, and organized
-
Comfortable managing multiple shipments and suppliers simultaneously

Strong written English
