As a Program Coordinator on the Scaled Education team, you will support the operations and execution of the portfolio of professional development and Stand Together education programs, including internal and external programs (Onboarding, Supervisor Series, Koch Associate Program, Koch Internship Program, etc.).  The Program Coordinator will organize program logistics including contributing to event planning, communications, and process improvements. This is a dynamic and multi-faceted role that will contribute to the overall talent goals of the 1,300-employee organization.
  • Execute program operations to meet the standards of the business, including all preparatory activities, logistical set up and breakdown, online event production, and coordination of materials 
  • Provide proactive, A-level support to Program and Events Managers  
  • Execute the multi-step facilitator invitation process for program sessions  
  • Execute program communication plans, leveraging tools such as Iterable and Docebo  
  • Collaborate with the Scaled Education team, Marketing/Communications team, and Legal on the development of workbooks, readers, and other program materials, managing copyright needs and data tracking 
  • Collaborate with the Infrastructure team on room and AV logistical needs 
  • Liaise with external vendors on participant materials and shipments  
  • Manage participant travel bookings via travel agency  
  • Process invoices, transactions, and expense reports 
  • Manage Scaled Education Inbox and Calendar with promptness, precision, and accuracy  
  • 2+ years of experience with coordination, logistics, or administrative support
  • Proven success in administrative support role(s) demonstrating critical thinking, economic decision making, and creative problem-solving skills 
  • Exceptional attention to detail   
  • Strong interpersonal and communication skills, capable of effectively collaborating with and coordinating between various stakeholders.  
  • Experience contributing to effective teams through professionalism, openness to change and new ideas, and humility   
  • Ability to drive multiple projects to completion in a fast-paced environment    
  • Strong customer focus, and an ability to anticipate customer needs   
  • Strong information technology skills and with a desire to learn new systems and seek knowledge that will enhance team efficiency
