This role reports to the Director of the Project Management Office for Technology ensuring successful execution of IT projects of varying size and complexity. Additionally, this role will use Business Analysis (BA) and Quality Assurance (QA) methodology to define business requirements for complex PMO projects. This Level 1 role requires basic to moderate IT experience, as well as experience managing cross-functional projects and business analysis/quality assurance. This role works closely with other PMs and the BA within the Touro PMO on creative problem solving around dependencies and conflicting priorities in the current project portfolio. An excellent working knowledge of IT systems and the ability to navigate them at a technical level are required. This job typically dedicates 50% PM, 25% BA, 25% QA, however, the PMO needs change, and the percentages may fluctuate as needed.
Responsibilities
~3 min readThis role is accountable for all project-related activities and deliverables, including, but not limited to, the following:
- →Utilize the Project Management Book of Knowledge (PMBOK) professional standards to develop project charters and plans, as well as manage the execution, monitoring, control and closing of IT projects
- →Work closely with a technical team - engineers, developers, BA/QA, and DevOps to understand system architecture, APIs, data flows, and infrastructure (at a high level) and define project scope, timelines, milestones, and dependencies for projects and initiatives
- →Organizes any technical documentation (architecture diagrams, specs) to help break down technical work into executable tasks for business and project stakeholders
- →Create and manage communications plans, develop risk register, issue log and manage risk/issue analysis, prioritization, and mitigation
- →Create and monitor project plans/project schedule and collaborate with project teams to ensure timely completion of projects and initiatives
- →Create and distribute clear project meeting notes
- →Transition projects from PMO management to operational status through transparent processes, including capturing lessons learned results for effective future project management maturation
- →Collaborate with administration, functional managers, and Subject Matter Experts to gather business and technical requirements to continue to move projects forward
- →Utilize Project and Portfolio Management (PPM) software (TeamDynamix) for plans and project asset management including charters, RACIs, diagrams, surveys, change requests, and provide formal and ad-hoc reports of project status as needed to the administration as well as project teams
- →Appropriately escalate all issues of concern by communicating with project sponsor and the Director of the PMO for Technology
- →Work towards formal PMI recognized certification, such as the CAPM (Certified Associate in Project Management), to improve the skills necessary to better manage Touro IT projects
- →Manage the coordination and communication between business units and the PMO from initial requirements gathering to the final sign-off of the requirements
- →Complete assigned Business Analyst activities on schedule, ensuring alignment with cost, benefit, and quality objectives
- →Provide guidance to functional subject matter experts and project managers regarding business analysis and quality assurance
- →Work with project teams and project managers to develop comprehensive UAT plans based on project requirements for both enhancements and upgrades
- →Define project UAT scripts and processes, levels of testing, roles and responsibilities for testing and metrics for acceptance of test results
- →Execute test plans and generate result reports, utilizing automated testing tools as needed Track bugs and defects, and maintain comprehensive tracking reports
- →Record and report on quality problems and concerns
Requirements
~1 min read- Bachelor's degree in IT related field or 2+ years of relevant IT experience required
- Prior experience with IT project coordination or management, business analysis, and/or quality assurance required
- Will need to obtain a CAPM and/or PMP certification
- Certified Business Analysis Professional (CBAP) or PMI Certified Professional Business Analyst Professional (PMI-PBA) is preferred
- Higher Education IT experience preferred
- Foundational understanding and knowledge of IT infrastructures and architectures, including server, network, identity management, IT security and software development
- Excellent organizational and follow-up skills
- Excellent communication skills, both written and verbal
- Strong attention to detail
- Ability to work well with others in a team, to collaborate, manage and resolve conflicts, and to accomplish goals on time without obstructions
- Strong aptitude and enthusiasm for learning new tools, methodologies, and processes.
- Ability to proactively collaborate with users at all levels within the organization to ensure project success
- Excellent time management skills
- High level of mastery of Microsoft Office Suite
- Knowledge of TeamDynamix preferred
- Certified Business Analysis Professional (CBAP) or PMI Certified Professional Business Analyst Professional (PMI-PBA) is preferred
- Will need to obtain a CAPM and/or PMP certification if not already certified.
