Responsibilities
~1 min read- →Receive, enter and prioritize resident work orders through the property management software
- →Assign work orders to maintenance technicians based on priority, skill set and workload
- →Monitor work order progress and ensure completion within established timeframes
- →Review completed work orders for accuracy and close them out in the system, including notes, labor and materials used
- →Track and schedule make-readies to ensure units are rent-ready by move-in dates
- →Coordinate with the Community Manager and Maintenance Supervisor on projects, priorities and staffing needs
- →Communicate with residents regarding work order status, scheduled entries and follow-ups in a professional, customer-focused manner
- →Schedule, coordinate and follow up with outside vendors and contractors; obtain quotes and verify work is completed
- →Maintain the preventative maintenance calendar and ensure tasks are scheduled and documented
- →Manage parts and supply inventory, place orders, and track purchase orders and invoices
- →Generate and review reports on work order volume, completion times and open items
- →Maintain accurate maintenance records, warranties, equipment logs and compliance documentation
- →Route after-hours emergency calls and coordinate on-call response as needed
- →Assist with basic maintenance tasks (e.g. minor repairs, light fixtures, filter changes) when needed
- →Comply with safety regulations and maintain organized records and work areas
- →Complete other tasks as directed and assigned
Requirements
~1 min read- Previous experience in property management, maintenance coordination, or a related administrative role preferred
- Strong computer skills, including property management software, Microsoft Office/Google Workspace, and mobile work order apps
- General knowledge of maintenance systems (plumbing, electrical, HVAC, appliances) to accurately triage and assign requests
- Excellent organizational, time management and multitasking skills
- Strong written and verbal communication skills
- Ability to work flexible hours as needed
