ORGANIZATION SUMMARY

POSITION SUMMARY:
 
World Relief seeks a Part-Time Children & Youth Coordinator to lead the day-to-day operation, instructional quality, and classroom experience of Children & Youth programming. Working under the direction of the Education Program Manager, this role coordinates curriculum, classroom operations, volunteers and interns, family communication, attendance, safety, and program logistics.
 
This is a part-time position for 20 hours per week. Schedule Requirements: Monday-Thursday, 5pm-8pm and then miscellaneous hours, both AM and PM.
Program Leadership & Accountability   
  • Lead the day-to-day operation and instructional quality of the Children & Youth program within the manager’s overall goals and priorities.
  • Provide the manager with regular updates on attendance, classroom needs, child engagement, volunteer performance, and emerging concerns.
  • Recommend program improvements based on classroom experience, family feedback, and child needs. 
  • Attend and actively participate in relevant staff meetings, department meetings, and Children & Youth Community of Practice meetings to support collaboration, professional development, and program improvement.  
  • Curriculum, Instruction & Classroom Operations 
  • Own all Children & Youth curriculum development and weekly lesson planning (art, music/dance, literacy, STEM, wellness, life skills, etc.), including adapting and implementing pre-set curricula.
  • Prepare lesson materials and organize supplies needed for each program night.
  • Lead evening Children & Youth classes and assign specific roles to volunteers and interns each night (e.g., art activity, dance/music, sign-in, small-group support). 
  • Maintain a clean, organized, developmentally appropriate, and safe classroom environment. 
  • Plan program-specific special activities and contribute ideas, curriculum, and logistics planning for camps and other Children & Youth programs. 
  • Help coordinate and lead two to three summer camps annually for refugee and immigrant children, including supporting curriculum development, activity planning, volunteer coordination, logistics, and day-of program implementation.  
  • Volunteer & Intern Management 
  • Identify the number and type of volunteers needed for each Children & Youth session and communicate staffing needs or gaps to the manager. 
  • Provide CAP/Children & Youth-specific orientation and coaching, including child safety, classroom routines, behavior support, and activity facilitation. 
  • Develop and update CAP-specific volunteer training materials and contribute program-specific content to larger volunteer trainings. 
  • Direct and support Children & Youth volunteers and interns during each class session and provide feedback on classroom performance.  
  • Student/Family Enrollment, Attendance & Communication 
  • Manage the Children & Youth roster, waitlist, registration paperwork and consents, and routine enrollment follow-up.   
  • Run or oversee nightly child sign-in and sign-out procedures and ensure records are complete and accurate. 
  • Track absences and attendance patterns; direct parents to contact the coordinator regarding routine absences and class-specific questions.   
  • Maintain routine communication with parents regarding attendance, program updates, child progress and engagement, special events, and class-specific changes.   
  • Flag chronic attendance concerns, safety concerns, or significant family needs to the manager for follow-up when appropriate.  
  • Data, Compliance, Safety & Reporting   
  • Input and maintain official Children & Youth class and program data in Dynamics when an intern is not available to do so. 
  • Implement child-safety policies and emergency procedures during program hours; complete incident reports and immediately escalate serious concerns to the appropriate supervisor.
  • Track classroom and program supplies and submit purchase requests before materials are needed.   
  • Maintain required Children & Youth forms and program-level documentation.  
  • Community Partnerships, Outreach & Communications
  • Provide the manager with Children & Youth program updates, photos and stories (when permitted), volunteer needs, and upcoming activities for newsletters, outreach, and other communications. 
  • Maintain program-specific communication with families and volunteers regarding immediate Children & Youth class needs, updates, or changes. 
  • Support relationships with community partners involved in Children & Youth activities and communicate program needs or opportunities to the manager.  
  • Budget, Supplies & Program Logistics 
  • Maintain Children & Youth supply inventory, organize materials, and submit timely purchase requests.
  • Coordinate routine classroom setup, cleanup, and program logistics. 
  • Plan the detailed operational needs of Children & Youth activities and special events, escalating larger budget or logistical decisions to the manager.      
  • Additional Responsibilities   
  • Perform other duties and responsibilities as assigned that may not be specifically listed in this job description but are reasonably related to the development, coordination, operation, or improvement of Children & Youth programming.
  • Support additional Children & Youth initiatives, special events, programming needs, and organizational priorities as assigned by the manager.

  • Valid drivers license, access to reliable vehicle and ability to pass MVR standards 
  • Previous experience working with children in a daycare, classroom, or similar setting   
  • Deep commitment to the care, safety, and overall well-being of children 
  • Ability to be flexible and responsive to the evolving needs of children and their families
  • Strong interpersonal skills and the ability to work well in a multicultural, team-oriented    environment
  • Comfort engaging with children in structured and creative activities, including arts-based programming 
  • Willingness to take direction and collaborate closely with supervisors and team members
  • Ability to maintain confidentiality and uphold World Relief’s values and policies 
  • Bi-lingual ability preferred 
  • Previous experience running programs and/or previous experience overseeing children and youth in a similar setting
  • Previous experience working with children and youth •    Previous cross-cultural experience highly desired 
  • Highly self-motivated with the ability to work independently and within necessary deadlines
  • Ability to problem-solve and multi-task
  • Enjoy working in a fast paced, challenging, and fluid environment
  • Excellent organizational skills and high attention to detail
  • Dependable and consistent in attendance and performance
  • Ability to work well as part of a team and with diverse groups of people
