HR Administrator
Quick Summary
Employment Administration: o Prepare and maintain all employment-related documentation, including employment contracts, addenda, employee files, and other legally required documents.
o Maintain and update employee information in HR systems and statutory registers within legal deadlines. o Monitor compliance with labor legislation and internal policies.
The position objective is to ensure accurate, compliant, and efficient administration of the employee lifecycle, including hiring, personnel administration, payroll support, employee records management, and HR operations, in accordance with applicable labor legislation and company policies.
Main tasks and responsibilities:
Employment Administration:
o Prepare and maintain all employment-related documentation, including employment contracts, addenda, employee files, and other legally required documents.
o Ensure complete and accurate employee records in accordance with legal and company requirements.
o Manage onboarding documentation and support the employee induction process.
o Prepare all documentation related to employee transfers, promotions, salary changes, leaves of absence, and employment termination.
Employee Records & Compliance:
o Maintain and update employee information in HR systems and statutory registers within legal deadlines.
o Monitor compliance with labor legislation and internal policies.
o Support internal and external audits by providing accurate HR documentation.
o Prepare employment certificates, seniority certificates, and other employee-related documents.
Payroll and Benefits Support:
o Collect, validate, and provide payroll input data within agreed timelines.
o Collaborate with payroll providers and internal stakeholders to ensure accurate salary processing.
HR Operations & Projects:
o Participate in HR process improvement and digitalization projects.
o Prepare HR reports and maintain personnel metrics.
HR Digitalization & Systems:
o Maintain accurate employee data within HR systems and ensure data integrity across platforms.
o Monitor and resolve employee and manager requests received through HR platforms.
o Support HR digitalization initiatives, including process automation and workflow optimization.
Job specifications (knowledge, education, experience, etc.):
o Studies: - Bachelor's Degree.
o Courses - HR Inspector Certification or equivalent qualification is an advantage.
o Relevant Experience - Minimum 1-2 years of experience in HR Administration, Personnel Administration, or Payroll Support.
Knowledge:
o Romanian Labor Law and employment regulations.
o Personnel administration processes and documentation.
o Employee records management and HR systems.
Abilities:
o Strong attention to detail and accuracy.
o Excellent organizational and administrative skills.
o Ability to manage multiple priorities and deadlines.
Occupational Health & Safety:
o Coordinate pre-employment and periodic medical examinations.
o Support activities related to occupational health and safety and ensure proper documentation.
o Liaise with external providers responsible for occupational health and safety services.
