Responsibilities

  • Process end-to-end monthly payroll accurately and on time for India employees.
  • Review and validate payroll inputs including new hires, exits, salary revisions, promotions, bonuses, commissions, variable pay, leave adjustments, arrears, tax declarations, and employee benefit changes.
  • Ensure accurate computation of salary components, earnings, deductions, statutory contributions, and employee benefits.
  • Coordinate with HR,  other team members in Finance, and ensure payroll accuracy and timely processing.
  • Validate full and final settlement input from HR, including leave encashment, gratuity calculations, recoveries, separation-related payments, etc.
  • Validate payroll outputs, reconcile payroll reports and investigate payroll discrepancies.
  • Respond to employee tax-related queries and provide timely resolution.
  • Support annual compensation changes, bonus processing, and commission payout validations.
  • Support US, UK, Canada and EOR payroll operations by coordinating with international payroll providers, Employer of Record (EOR) partners, and internal stakeholders.
  • Review payroll reports received from global payroll vendors for accuracy, completeness, and compliance with approved payroll inputs.
  • Track payroll calendars, submission deadlines, approvals, funding requirements, and payroll deliverables across multiple countries.
  • Assist with the administration and coordination of global payroll-related benefit programs, including retirement plans (e.g., 401(k)), pension schemes, health and welfare benefits, and other country-specific employee benefit programs.
  • Support compliance with appropriate local payroll requirements, including employee data reporting, benefit deductions, statutory contributions, and payroll audits.
  • Coordinate with payroll vendors and HR team and ensure timely update of records regarding employee lifecycle events, including new hires, terminations, compensation changes, and benefit enrollments post HRIS integration
  • Maintain accurate employee master data in Paychex & Paybook  or equivalent payroll platforms.
  •  Perform periodic audits of  payroll data to ensure accuracy, completeness, and compliance.
  • Support annual payroll related processes, including year end payroll reconciliations, tax reporting and filings, payroll system updates, validation and administration of payroll deductions and employer contributions related to employee benefit programs.
  • Maintain payroll process documentation, controls, and employee records in accordance with company policies and audit requirements.
  • Ensure compliance with applicable payroll, tax, labor, and social security regulations.
  • Administer and coordinate payroll-related statutory compliance including:
    • Tax Deducted at Source (TDS)
    • Provident Fund (PF)
    • National Pension System (NPS)
    • Professional Tax (PT)
    • Labour Welfare Fund (LWF)
    • Gratuity
    • Other applicable employee benefit and statutory programs
  • Coordinate monthly and annual statutory filings, remittances, and reconciliations.
  • Support year-end payroll activities, including tax computations, investment proof verification, Form 16 generation and distribution, and employee tax-related support.
  • Support coordination of global payroll compliance activities, including retirement plan contributions (e.g., 401(k)), pension plans, statutory deductions, employer contributions, and country-specific payroll reporting requirements.
  • Coordinate global year-end payroll reporting requirements such as W-2, P60, T4, or equivalent local reporting through payroll providers.
  • Support internal and external audits related to payroll, employee benefits, and statutory compliance.
  • Prepare payroll-related journal entries, accruals, reconciliations, and supporting schedules.
  • Coordinate payroll funding requirements and support salary and statutory payment processing through banking platforms.
  • Provide payroll, headcount, statutory, and management reports as required.
  • Identify opportunities to improve payroll processes, controls, automation, and operational efficiency.
  • Bachelor’s degree in Commerce, Accounting, Finance, Human Resources or a related field.
  • 4-6 years of experience in processing payroll in India. Experience supporting multinational organizations and global payroll operations preferred.
  • Strong knowledge of India payroll regulations, labor laws, tax requirements, and statutory compliance.
  • Experience working with payroll vendors, EOR providers, and payroll software platforms.
  • Hands-on experience with Paybooks, Paychex, or similar payroll systems.
  • Good understanding of payroll accounting, reconciliations, and reporting.
  • Strong proficiency in Microsoft Excel.
  • Exposure to ERP systems such as NetSuite is preferred.
