JOB SUMMARY

The Vendor Compliance Assistant supports the execution of At Home's vendor compliance program by monitoring vendor adherence to company requirements, researching compliance violations, administering chargebacks, supporting vendor onboarding, and partnering with vendors and internal stakeholders to improve operational performance. This role serves as a key point of contact for vendors and cross-functional teams, helping ensure compliance with shipping, packaging, EDI, and operational standards across a global supplier network.

 

ESSENTIAL FUNCTIONS

Vendor Compliance Administration

  • Research and investigate reported violations of vendor compliance requirements. 
  • Analyze supporting documentation and operational data to determine appropriate chargebacks. 
  • Ensure chargebacks are accurately reviewed, validated, and processed within established timelines. 
  • Monitor vendor compliance trends and identify recurring issues impacting operational performance. 

Vendor Support & Onboarding

  • Serve as a primary point of contact for vendor compliance inquiries. 
  • Conduct onboarding presentations and training sessions for new vendors. 
  • Provide guidance regarding shipping, packaging, EDI, routing, and compliance requirements. 
  • Assist vendors with vendor portal navigation and troubleshooting. 

Performance Improvement

  • Analyze vendor performance metrics and identify vendors with elevated compliance violations. 
  • Partner with vendors to develop and implement corrective action plans. 
  • Monitor progress and recommend actions to improve compliance performance. 

Documentation & Compliance Controls

  • Maintain vendor compliance documentation, training materials, and EDI resources. 
  • Ensure compliance processes align with SOX requirements and internal controls. 
  • Support audits and compliance reporting activities as needed. 

Cross-Functional Partnership

  • Partner with Merchandising, Direct Sourcing, Logistics, Supply Chain, and Store Operations teams to ensure consistent application of vendor compliance standards. 
  • Deliver onboarding and educational sessions for internal business partners regarding vendor compliance expectations.

 

QUALIFICATIONS

  • Associate or Bachelor’s degree or related field preferred. Equivalent experience is considered. 

  • 2 – 4 years’ experience in vendor compliance, supply chain, logistics, retail operations, sourcing, merchandising support, accounts payable chargebacks, or a related field.

  • Knowledge of Vendor Compliance programs and processes, Supply chain, sourcing, distribution, and retail operations. Chargeback administration and dispute resolution processes, Electronic Data Interchange (EDI) transactions and vendor portals, shipping, packaging, routing, and vendor requirements. Internal controls and SOX compliance principles, Microsoft Excel and data analysis techniques. 

  • Ability to and skills needed:

    • Analyze operational and compliance data to identify trends, root causes, and opportunities for improvement 

    • Investigate compliance violations and make sound business decisions based on available information 

    • Manage multiple priorities while meeting deadlines in a fast-paced environment 

    • Build effective working relationships with vendors and cross-functional business partners 

    • Communicate complex compliance requirements clearly and professionally to internal and external stakeholders 

    • Deliver presentations and training to vendors and internal teams 

    • Exercise sound judgment and maintain confidentiality when handling sensitive information 

    • Adapt to changing business priorities and operational requirements
