As ATB’s next Business Coordinator, you are a part of the Underwriting & Sales Support Senior leadership team and will be responsible for providing specialized support primarily to the Associate Vice President of Underwriting & Sales Support Teams in Business Banking and Associate Vice President of Portfolio Management Teams in ATB Capital Markets. This position also supports 30 leaders within these two business units with various requests, as well as managing the administrative functions of the group in a fast-paced environment with constant shifting priorities. We are looking for someone who loves nothing more than delivering exceptional service to their leaders and team and someone who takes pride in being able to build strong relationships that encourage collaboration and teamwork. ## Accountabilities * Serve as the team’s primary operational hub, managing day-to-day logistics, team communications, and team member recognition/milestones to foster an engaging, supportive environment. * Provide comprehensive coordination for leadership and team members, including complex calendar management, resource tracking, distribution lists, and technology requests. * Coordinate the onboarding journey for new team members (following ATB’s myStart program), including role training, IT asset procurement, and workspace setup. * Plan and execute meeting logistics for internal and external events, handling agenda preparation, venue selection, vendor management, and on-site support. * Review, code, and submit invoices and expense reports while monitoring team budget adherence and resolving financial reconciliations. * Partner with diverse business units across the organization to anticipate operational needs, streamline workflows, and drive process efficiencies. * Draft, format, and distribute high-quality, sensitive correspondence, reports, presentations, and communications across all levels of the organization. ## Skills, Experience & Requirements * 3+ years of progressive administrative support experience in a fast-paced environment. * A degree or diploma in Business Administration or a related field (or equivalent work experience) is preferred. * Advanced skills in Google Workspace (Docs, Sheets, Slides, Drive, Calendar) and general office productivity tools. * Exceptional written and verbal business communication skills with an unwavering commitment to handling sensitive, confidential information. * Proven time management and prioritization skills, with the ability to manage competing demands while maintaining high attention to detail. * Demonstrated ability to build strong, collaborative relationships with internal stakeholders and external partners at all organizational levels. * Self-motivated, proactive, and resource-driven approach to anticipating problems and implementing smart, simple solutions.
