The General Clerk position provides office support responsibilities to and for the Summer YouthWorks Data Assistant and staff.  Work is performed under the supervision of the YouthWorks Sr. Manager and Data Assistant.  Assignments are routine in nature and completed in accordance with general work instruction and established office practices and procedures.

 

  • Answer a (12) Line Telephone System 
  • Provide excellent customer service by representing the Agency and customer service philosophy, policy and procedures with the utmost integrity. 
  • Provide accurate information to the public pertaining to YouthWorks and MOED programs.
  • Screen incoming calls in a business professional manner; direct calls to appropriate YouthWorks or MOED staff.
  • Support the YouthWorks Sr. Manager and Staff during the Data Assistant absence.
  • Use the YW System to answer participant and worksite inquiries.
  • Make notes in the YouthWorks System for registered youth issues or concerns.
  • Research requested information and/or issues with resolution follow-up for worksites and youth.
  • Maintain electronic equipment distribution list and log.
  • Work in conjunction with Data Assistant to order supplies and printed materials.
  • Assist with organizing materials for mailings and presentations.
  • Organize, track documents drop-off appointments.
  • Support Data Assistant and staff by prioritizing, organizing and follow-up on Projects.
  • Support the Data Assistant in the electronic generation and collection of pay cards, and charm cards; along with tracking tools to ensure proper distribution and collection of required items.
  • Perform other related work assignments as directed. 
  • Operate various office equipment which include multi-line telephone system, fax machine, copiers, scanner, shredder and laptop and desktop computer.

  • Three (3) years of progressively responsible experience as an Office Assistant or comparable business college course work.
  • Must be capable of completing computer data entry and using search functions with database search function for youth and worksites.
  • Advanced beginner skills in MS Office Products: Word, Excel and Share Drive.
  • Proficiency in various virtual communications platforms such as Webex, Zoom, Microsoft 365, Google and Microsoft teams.

 

 

Eligible candidates under final consideration for appointment to positions identified as positions of trust will be required to complete authorization for a Criminal Background Check and/or Fingerprint screening and must be successfully completed.

 

All persons, including current City employees, selected for this position must complete a 6-month mandatory probation.
