Scottsdale Fine Jewelers is seeking a highly organized, detail-driven Luxury Jewelry Operations & Inventory Coordinator to support our Scottsdale showroom and work closely with our Home Office inventory, accounting, repair, and fulfillment teams.
This is an important behind-the-scenes role for someone who enjoys structure, accuracy, problem-solving, and being the person others can count on to keep merchandise, repairs, special orders, supplies, and customer-related paperwork moving smoothly.
The right candidate will be comfortable working in a fast-paced luxury retail environment, handling valuable merchandise, communicating with multiple departments, and following detailed processes with care and consistency.
Important Training Requirement
This position requires two weeks of paid preliminary training at our Home Office in Evansville, Indiana before beginning work in Scottsdale.
All travel expenses will be paid by the company, including flights, lodging in an Airbnb near the Home Office, and other approved travel-related expenses.
Candidates must be fully aware of and available for this required training period. After training is complete, the employee will return to Scottsdale and report to work at Scottsdale Fine Jewelers.
What You’ll Do
This role supports inventory control, repair coordination, customer fulfillment, store operations, and administrative execution. Responsibilities include:
- Receive inbound packages and verify that packing slips, merchandise, components, parts, and paperwork match accurately
- Enter received merchandise, components, parts, and repairs into the appropriate inventory and point-of-sale systems
- Support VCA-related processes, including parts inventory, reconciliation, repair entry, quality control, courier coordination, and invoicing
- Assist with store inventory control, including transfers in and out of the Scottsdale location
- Process SKU requests and help facilitate special orders by gathering and submitting required paperwork to the Home Office
- Coordinate shop and repair parts orders, including quality control support for the in-house repair department
- Track, organize, and maintain inventory of findings, diamonds, and other controlled merchandise in the vault
- Support shipping and receiving, including logging, routing, and tracking merchandise
- Help process customer-related merchandise activity, including in-store returns, trade-ins, street buys, repairs, and special order fulfillment
- Photograph received items for documentation, verification, and identification in company systems
- Match incoming items with the correct customer, sales associate, department, repair, or order
- Fill internal requests and help distribute jobs, repairs, or merchandise to the appropriate associates
- Maintain functional store supply orders, printed materials, boxes, packaging, and other showroom support items
- Assist with event preparation, store errands, shopping for store needs, appointment support, and thank-you card execution
- Support social media needs as requested, including product photography, posts, and other content requests from the Home Office
- Maintain gold-buy city file reporting and tracking
- Make bank runs and other approved business errands as needed
- Answer phones and assist with general administrative or showroom support when needed
- Use Excel, Word, Outlook, and other internal systems for inventory tracking, auditing, communication, and documentation
- Assist with gift wrapping or basic jewelry cleaning during especially busy showroom periods

The ideal candidate is accurate, dependable, organized, and comfortable taking ownership of detailed work. This person should enjoy being part of a luxury retail team while also being able to work independently and follow processes carefully.
Qualified candidates should have:
- Strong attention to detail and accuracy
- Excellent organizational and clerical skills
- Strong written and verbal communication skills
- Professional phone, email, and internal communication etiquette
- Comfort working with valuable merchandise in a luxury retail environment
- Strong computer skills, including Microsoft Office 365, Excel, Word, Outlook, databases, and spreadsheets
- Ability to type accurately and efficiently; 50+ WPM preferred
- Ability to learn point-of-sale, inventory, customer tracking, and internal communication systems
- Ability to multitask and prioritize in a fast-paced environment
- A positive, team-oriented attitude
- Strong problem-solving skills
- Ability to work independently while staying aligned with company procedures
- High school diploma or equivalent required
- Prior experience in jewelry, luxury retail, inventory, repair intake, operations, shipping/receiving, or administrative coordination is helpful but not required for the right person

Schedule
Full-time schedule based at Scottsdale Fine Jewelers in Scottsdale, Arizona after completion of the required two-week paid training period in Evansville, Indiana.
Required Training
Before beginning work in Scottsdale, the selected candidate must complete two weeks of paid training at our Home Office in Evansville, Indiana. The company will cover approved travel expenses, including airfare and lodging.
Applicants must be available and willing to travel to Evansville for this required training period.
