About the Role
~1 min readWe are seeking a proactive, technically capable Salesforce / Litify Administrator to own the day-to-day administration, continued development, and optimization of our Salesforce and Litify environment.
This role goes beyond traditional Salesforce user administration and support. The Salesforce / Litify Administrator will work closely with Operations, Legal, Intake, Records, Finance, and other business teams to understand operational needs, translate those needs into scalable technical solutions, and manage projects from requirements gathering through configuration, testing, deployment, documentation, and user adoption.
Responsibilities

- →Provide day-to-day platform support, investigate reported issues, identify root causes, and implement appropriate short- and long-term solutions.
- →Gather requirements from stakeholders across departments and translate business processes into scalable Salesforce and Litify solutions.
- →Design, build, test, deploy, document, and maintain Salesforce enhancements and automations.
- →Build and maintain Salesforce Flows, including record-triggered flows, screen flows, scheduled automation, and complex multi-object business processes.
- →Configure and maintain custom fields, objects, relationships, formulas, validation rules, record types, Lightning Record Pages, page layouts, quick actions, custom settings, and related platform functionality.
- →Administer Litify-specific functionality including Matters, Intakes, Parties, Roles, Matter Plans, Matter Stages, Tasks, Requests, Damages, and other legal workflow components.
- →Evaluate existing workflows and business processes to identify opportunities for automation, consolidation, standardization, and improved user experience.
- →Maintain and improve Salesforce security architecture, including users, licenses, profiles, permission sets, permission set groups, roles, sharing rules, public groups, object access, and field-level security.
- →Manage employee onboarding and offboarding within Salesforce, including account creation, access configuration, license assignment, permission management, and record reassignment.
- →Develop and maintain reports and dashboards that support operational, management, compliance, and performance reporting needs.
- →Perform data management activities including imports, exports, mass updates, data cleanup, duplicate prevention, reconciliation, and troubleshooting data-quality issues.
- →Plan and execute Salesforce deployments between sandbox and production environments, including testing, dependency analysis, release validation, and post-deployment verification.
- →Maintain and troubleshoot integrations between Salesforce/Litify and third-party platforms such as document management, electronic signature, telephony, HR, survey, accounting, and other operational systems.
- →Troubleshoot API, OAuth, connected app, webhook, and integration-related issues when necessary.
- →Work with vendors and external support teams to diagnose and resolve platform or integration issues.
- →Evaluate managed packages, Salesforce features, and third-party applications and provide recommendations regarding implementation, configuration, or retirement.
- →Monitor Salesforce platform health, security, performance, storage, licenses, automation, and technical debt and proactively recommend improvements.
- →Identify outdated, redundant, unused, or inefficient automations and configurations and lead efforts to consolidate or modernize them.
- →Create technical documentation, system documentation, SOPs, training materials, and end-user communications.
- →Train users on new and existing Salesforce/Litify functionality and support adoption following system changes.
- →Participate in the planning and technical evaluation of new firm initiatives to ensure Salesforce, Litify, integration, data, security, and workflow requirements are considered before implementation.
- →Maintain awareness of Salesforce releases, Litify changes, platform deprecations, security updates, and emerging capabilities that may affect the organization.
- →Where appropriate, work with or maintain lightweight custom Salesforce development such as Apex, Lightning Web Components, SOQL, or other declarative/programmatic solutions.
Requirements
~2 min read- 2–3+ years of hands-on Salesforce administration experience, or equivalent demonstrated experience administering and developing solutions on the Salesforce platform.
- Salesforce Certified Administrator or equivalent Salesforce platform expertise.
- Strong hands-on experience with Salesforce Flow and declarative automation.
- Experience configuring Salesforce objects, fields, relationships, formulas, validation rules, record types, Lightning pages, permissions, reports, and dashboards.
- Strong understanding of Salesforce security and access management, including profiles, permission sets, roles, sharing, object permissions, and field-level security.
- Experience independently troubleshooting complex Salesforce issues and determining root causes.
- Experience gathering business requirements and translating them into technical solutions.
- Strong data-management skills, including imports, exports, mass updates, data cleanup, and data-quality management.
- Ability to manage technical projects from discovery and requirements gathering through testing, deployment, documentation, and user training.
- Strong written and verbal communication skills and the ability to work with both technical and non-technical stakeholders.
- Experience administering Litify or another Salesforce-based legal practice management platform.
- Experience within a law firm, legal operations environment, or other workflow-intensive professional services organization.
- Salesforce Platform App Builder, Advanced Administrator, Platform Developer I, or other relevant Salesforce certifications.
- Experience with Salesforce integrations, APIs, OAuth, Connected Apps, webhooks, or middleware platforms.
- Experience supporting third-party Salesforce applications and managed packages.
- Familiarity with SOQL, Apex, Lightning Web Components, Salesforce CLI, VS Code, or other Salesforce development and deployment tools.
- Experience with sandbox management, change sets, metadata deployments, release management, and production troubleshooting.
- Experience designing complex Screen Flows and multi-object process automation.
- Experience with document-generation, electronic-signature, telephony, HRIS, accounting, or document-management integrations.
- Experience evaluating and improving legacy Salesforce automation, technical debt, or platform architecture.
- Strong ownership mentality and ability to independently drive technical projects to completion.
- Ability to investigate unfamiliar systems or problems and develop solutions with limited direction.
- Strong understanding of Salesforce platform architecture and best practices.
- Ability to distinguish between an immediate fix and a scalable long-term solution.
- Strong analytical and troubleshooting skills.
- Ability to understand complex business processes and translate them into maintainable technical workflows.
- Ability to evaluate the downstream impact of Salesforce configuration changes before implementation.
- Strong attention to data integrity, security, maintainability, and user experience.
- Ability to prioritize competing operational issues, support requests, and longer-term development projects.
- Excellent relationship-building skills and ability to communicate effectively with stakeholders at all levels of the organization.
- Comfortable working directly with department leaders, end users, vendors, and technical support teams.
- Strong documentation and training skills.
- Commitment to continued learning as Salesforce, Litify, and the firm's technology environment evolve.

Success in this position means more than keeping Salesforce operational. The Salesforce / Litify Administrator should continuously improve how the firm uses its systems, reduce unnecessary manual work, identify risks before they become larger problems, and build solutions that can support the firm's evolving processes over time.
The successful candidate will be comfortable owning both urgent operational troubleshooting and longer-term platform improvement initiatives and will become a trusted technical partner to departments throughout the firm.
