The Client Care Specialist is an essential new role within Brodie Law Group, designed to enhance client relationships and improve case management during medical treatments. This position is integral to our mission of ensuring every client feels valued and supported throughout their legal journey. As a Client Care Specialist, you will be instrumental in facilitating communication, driving case progression, and directly impacting client satisfaction and firm success.
Responsibilities
~1 min read- →Primary Contact: Serve as the client's primary point of contact throughout medical treatment, building trust through regular communication while ensuring clients feel informed, supported, and cared for.
- →Proactive Outreach: Conduct approximately 10–20 client calls daily, with consistent follow-ups, ensuring every client is contacted at least once a month.
- →Treatment Monitoring: Track client medical progress, verify treatment effectiveness, confirm upcoming appointments, identify when additional referrals or changes in treatment may be needed, and help keep cases moving throughout the treatment process.
- →Issue Escalation: Recognize when clients are not progressing through treatment or require additional support, promptly escalating concerns to the appropriate team members to ensure timely intervention and continued case progression.
- →Documentation: Maintain accurate and timely documentation in the case management system, recording treatment updates, appointment details, client concerns, and next steps while ensuring internal teams have the information needed to coordinate case progression.
- →Collaboration: Work closely with attorneys, paralegals, reception, and other internal team members to coordinate referrals, treatment updates, and client communications that keep cases progressing.
- →Client Intake: Assist with personal injury intake calls to convert inquiries into full-fledged cases when necessary.
- Experience Required: At least 2–3 years in a client-facing role with strong organizational and documentation skills.
- Communication Skills: Excellent verbal and written communication abilities, with a warm and empathetic demeanor.
- Technical Proficiency: Comfortable learning and using CRM and case management systems, with experience using Filevine or similar software preferred.
- Detail-Oriented: Strong active listening skills with exceptional attention to detail, recognizing subtle client concerns that require follow-up, referrals, or escalation.
- Organization & Follow-Through: Able to independently manage recurring client follow-ups, prioritize daily outreach, and consistently maintain communication schedules.
- Interpersonal Skills: Capable of building trust and rapport with clients, emphasizing active listening and empathy.
- Impactful Work: Engage in meaningful client interactions that directly influence case progression and client outcomes.
- Collaborative Environment: Work closely with attorneys and paralegals, becoming a trusted member of our legal team.
