Responsibilities

- →Intake Management: Efficiently manage initial client interactions, ensuring timely follow-up and comprehensive case details are gathered.
- →Client Communication: Serve as the primary contact for clients, providing updates and maintaining strong communication throughout the case process.
- →Internal Communication: Communicate with the team via Microsoft Teams and keep the responsible paralegals updated when leads are handed off.
- →Case Support: Assist attorneys by coordinating discovery, depositions, and other critical litigation tasks, ensuring all deadlines are met.
- →Documentation: Accurately input client/case information into Lead Docket (and Intaker, which works in conjunction with Lead Docket) and maintain detailed notes through the full intake lifecycle.
- →Lead Qualification: Analyze potential cases to determine qualification and assist in the assignment to appropriate attorneys.
- →Turndown Coordination: Prepare and send turndown communications for non-qualified leads, maintaining professionalism and sensitivity.
- →Success in this role looks like: responding to new leads within 24 hours, maintaining clear step-by-step notes in the systems, qualifying leads before attorney handoff, and completing turndowns (including the turndown letter) without leaving loose ends.
- Experience Required: 2-3 years in a personal injury law firm, with expertise in intake and case management.
- Communication Skills: Excellent verbal and written communication, capable of engaging professionally with clients under stress.
- Empathy & Listening: High emotional intelligence, capable of supporting clients experiencing trauma with patience and understanding.
- Technical Skills: Proficiency in CRM tools like Filevine and Lead Docket, with a strong ability to learn new software quickly.
- Follow-Through: Strong organizational skills ensuring timely task completion and thorough documentation.
- Responsiveness: Commitment to promptly returning calls and following up within 24 hours on client interactions.
