Responsibilities

- →Invoicing and Billing Management: Oversee invoicing, billing, and payment processes to ensure accuracy and timeliness.
- →Office Administration: Manage office supplies, payroll support, and insurance renewals to ensure smooth daily operations.
- →Front Desk Coordination: Serve as the first point of contact for clients and visitors, maintaining a welcoming and professional atmosphere.
- →Conference Room Management: Coordinate scheduling, preparation, and reservations for meetings to support client and team needs.
- →Client Experience Support: Provide exceptional client-facing service, ensuring a positive and professional experience for all visitors.
- →Process Improvement: Identify and propose enhancements to existing procedures, contributing to the firm’s operational efficiency.
- →Collaboration: Work closely with IT and other team members, ensuring administrative tasks are completed effectively.
- →Confidentiality Management: Safeguard sensitive information and maintain the confidentiality of the firm’s finances.
- Administrative Experience: Demonstrated experience in office management and administration, including invoicing and billing tasks.
- Client Service Skills: Strong client-facing skills with an ability to maintain professionalism under pressure.
- Technical Proficiency: Proficient with Microsoft Office 365, Adobe PDF, and Dropbox.
- Organizational Skills: Ability to manage multiple tasks and priorities efficiently.
- Initiative: Self-starter attitude with the ability to work independently and propose solutions.
- Trustworthiness: High integrity when handling confidential and financial information.
- Flexible Communication: Comfort with situational communication outside of traditional hours when necessary.
