PURPOSE OF JOB CLASS (NATURE OF WORK)

In a state agency this class is accountable for supervising clerical employees involved in general clerical activities.

EXAMPLES OF DUTIES

\r\n\r\n Determines priorities, assigns and reviews work;�\r\n Coordinates workflow;�\r\n Provides staff training and assistance;�\r\n Conducts performance evaluations;�\r\n Maintains office records;�\r\n Serves as liaison with other operating units, agencies, outside officials, etc.;�\r\n Handles counseling or disciplinary problems;�\r\n Develops work performance and procedural standards and guidelines;�\r\n Recommends staffing changes and assists in recruitment and selection of personnel;�\r\n Compiles data and prepares reports;�\r\n Develops and maintains filing systems, forms and office procedures;�\r\n Handles telephone and written inquiries for information and assistance;�\r\n Explains agency policy to staff and public;�\r\n Maintains inventory control;�\r\n Performs related duties as required.\r\n\r\n\r\n

KNOWLEDGE, SKILL AND ABILITY

\r\n Considerable knowledge of office systems and procedures;�\r\n Skills\r\n \r\n interpersonal skills;�\r\n oral and written communication skills;�\r\n \r\n \r\n Considerable supervisory ability;�\r\n Ability to\r\n \r\n schedule and prioritize workflow;�\r\n read, understand and apply a variety of materials;�\r\n perform arithmetic computations;�\r\n operate office equipment which includes computers or other electronic equipment;�\r\n operate office suite software.\r\n \r\n \r\n\r\n

MINIMUM QUALIFICATIONS - GENERAL EXPERIENCE

Four (4) years of general clerical experience.

MINIMUM QUALIFICATIONS - SPECIAL EXPERIENCE

Two (2) years of the General Experience must have involved a full range of general clerical duties as an Office Assistant, Interpreter Clerk or its equivalent.

MINIMUM QUALIFICATIONS - SUBSTITUTIONS ALLOWED

College training may be substituted for the General Experience on the basis of fifteen (15) semester hours equalling one-half (1/2) year of experience to a maximum of two (2) years.\r\n

PREFERRED QUALIFICATIONS

\r\n\r\n Experience with Microsoft Office Suite to include managing data, composing correspondences, and scheduling meetings/Microsoft Team.\r\n Experience with CORE-CT and Kronos for time reporting/attendance and approvals.\r\n Experience prioritizing workflow and meeting time sensitive deadlines.\r\n Experience communicating with internal and external stakeholders and working collaboratively with reporting partners and the public using verbal and written communications.\r\n Experience supervising, leading, training, and delegating assignments to lower-level staff.\r\n Experience working with electronic data and electronic record management systems.\r\n\r\n\r\n

SPECIAL REQUIREMENTS

Incumbents may be required to possess a high school diploma or General Educational Development (GED) certification by the time of permanent appointment.\r\n
