DOM Post Award Core Grants & Contract Program Manager

Job Summary:

The Department of Medicine (DOM) has an opening for a full-time Post-Award Core Grants and Contracts Program Manager. This position leads the Post-Award Core team, which provides comprehensive post-award support to Department of Medicine Faculty. This role sits within the DOM Research Office and works closely with research leadership, the Office of Grants and Contracts, divisions within the DOM, and research teams to ensure the effective administration and oversight of sponsored projects.  Core hours are Monday through Friday, 8 AM - 5 PM.

Under direction from Research leadership, this position provides day-to-day leadership, facilitates communication related to sponsored project administration, and ensures compliance with all federal, state, University, and sponsor regulations. A critical element of the role is to deliver timely and expert service and support to DOM faculty and administrators. The position is responsible for maintaining efficient and consistent grants management processes in a fast-paced, collaborative academic environment.  

Key Responsibilities:

• Supervision and Leadership

• Supervise a team of research services professionals (grant administrators) and assign workloads to team members, ensuring that team members have appropriate workloads.

• Create and maintain standard operating procedures and policies for the Post-Award Core.  Ensure accuracy and timeliness of services provided.

• Serve as the Department’s content expert in post-award grants and contracts management.

Post-Award Grants and Contracts Administration

• Perform journal entries, PETs, funding distributions, and other financial transactions involved in sponsored projects administration to complete financial tasks and tracking for NIH, VA, DOD, and private foundation grants and contracts.

• Implement university fiscal policies and procedures, and state, federal, and sponsor policies and standards applicable to business management of projects (personnel, accounting, auditing, etc.). Prepare budgets for federal, state, industry, university, and private sponsors for grants, fellowships, and contracts.

Training and Reporting

• Responsible for training the team to provide team members with the necessary skills and knowledge to perform their duties effectively and accurately, including all tasks performed by post-award core, such as journal entries, PETs, funding distributions, projections, and other financial transactions involved in sponsored projects administration.

• Ensure all grant and contract team members stay up to date with the latest grant regulations, with a specific focus on NIH awards. Provide reports for DOM and division leadership as requested in a timely manner.

Work Location:

Hybrid – this role is eligible for a hybrid schedule with a minimum of three to four (3-4) days per week, 8 AM – 5 PM, on campus and as needed based on workload, in-person meetings, and CU Anschutz policies.

Qualifications:

Minimum Qualifications:

• Bachelor’s degree in public administration, physical sciences, healthcare, finance, accounting, business administration, business, or a directly related field from an accredited institution

• Five (5) years of experience managing sponsored projects administration, including at least three (3) years of post-award administration.*

• Three (3) years of experience supervising professional employees.*

*Experience may be obtained simultaneously.

Substitution: A combination of education and related technical/military/paraprofessional experience may be substituted for a bachelor’s degree on a year-for-year basis.

Substitution: An advanced degree (Master's or Doctorate) may be substituted for experience on a year-for-year basis if the degree is in a field of study directly related to the work assignment.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

• Prior experience working in sponsored projects financial administration, with a focus on federal funders, in an academic environment.

• Previous experience managing a research administrator team.

• CRA certification.

• Experience with CU Anschutz information systems: InfoEd, CONCUR, CU Marketplace, PeopleSoft Finance, CU Data, and HCM.

• Must be willing and able to walk approximately 0.5 miles between meeting sites.

• Must be able to work 8.00 AM - 5.00 PM Monday through Friday.

• Must be able to work independently following training.

• Ability to establish work priorities and handle multiple deadlines.

• Ability to handle sensitive and confidential information and documents and maintain strict confidentiality in all HR matters; using professionalism and discretion in all conversations, even those not directly related to HR actions.

• Strong organizational skills and attention to detail. 

• Proficient in the use of Microsoft Office programs (Excel, Word, Outlook, PowerPoint) and advanced proficiency in creating and maintaining data/financial reports using Excel.

Anticipated Pay Range:

The starting salary range (or hiring range) for this position has been established as $70,814 – $90,937.

The above salary range (or hiring range) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
