The Title Operations Trainee is an entry-level role designed to build foundational knowledge and skills across title operations. Under direct supervision, the trainee completes structured training and supports one or more functions, which may include title production, examination, closing or escrow, recording, policy, post-closing, and customer service. Success in this role requires accuracy, responsiveness, sound judgment, and steady progress toward independently completing assigned tasks. Specific assignments and the timing of progression will depend on business needs, training completion, and demonstrated proficiency.
Responsibilities

- →Learn and follow company systems, workflows, standard operating procedures, and quality requirements.
- →Enter, update, and maintain accurate transaction information, documents, notes, and status updates in title production and related systems.
- →Review assigned documents and data for completeness, consistency, and accuracy, and promptly escalate discrepancies or questions.
- →Support one or more title functions, including order entry, title production, examination, closing or escrow, recording, policy, post-closing, and customer service, based on business needs.
- →Prepare, update, organize, and distribute routine title-related documents and correspondence under supervision.
- →Research public records, property information, transaction details, or other source documentation when required for the assigned function.
- →Manage assigned task queues and meet established service levels, deadlines, and productivity expectations.
- →Communicate professionally with internal teams and, as assigned, customers, lenders, attorneys, title agents, builders, vendors, and other transaction parties.
- →Protect confidential and nonpublic information and follow applicable company policies, state requirements, and underwriting guidelines.
- →Ask questions, apply feedback, and demonstrate increasing proficiency and independence in assigned responsibilities.
- →Perform other title-related duties and special projects as assigned.
- High school diploma or equivalent.
- No prior title industry experience is required; this role is intended for candidates who can learn title operations through structured training and hands-on experience.
- Ability to learn new systems, processes, terminology, and regulatory requirements.
- Strong attention to detail and commitment to accurate, complete work.
- Ability to organize work, manage multiple priorities, and meet deadlines in a fast-paced environment.
- Ability to read, understand, and follow detailed written instructions and business documents.
- Strong written and verbal communication skills and a professional service mindset.
- Working knowledge of Microsoft Office, including Word, Excel, and Outlook.
- Ability to handle confidential information with discretion.
Nice to Have
~1 min read- Prior work, internship, or coursework in title, real estate, mortgage, banking, legal services, customer service, data processing, or administrative support.
- Familiarity with basic real estate terminology, public records, county recording systems, or title production software.
While performing the responsibilities of the job, the employee is required to talk and hear. Vision abilities required by the job are close vision.
