The Clinical Trial Coordinator (CTC) serves as a key liaison between investigative sites, sponsors, vendors, and internal study teams, supporting financial and operational activities throughout the clinical trial lifecycle. This role is responsible for coordinating site payments, budget tracking, invoice management, financial reconciliation, and/or clinical trial supply activities to ensure studies are delivered efficiently, compliantly, and in accordance with project timelines.


Responsibilities

  • →Serve as the primary point of contact for investigative sites regarding study financial and operational activities.
  • →Support site budget development, tracking, maintenance, and reconciliation activities.
  • →Review and process investigator payments, site invoices, and reimbursement requests.
  • →Track payment milestones and ensure timely resolution of payment-related issues.
  • →Maintain accurate financial records, study trackers, and reporting tools.
  • →Collaborate with sponsors, vendors, investigative sites, and internal stakeholders to support study financial management.
  • →Assist with forecasting, budget monitoring, accrual tracking, and financial reporting activities.
  • →Support review and maintenance of site contracts, budgets, and financial amendments.
  • →Ensure all study documentation, financial records, and systems are maintained accurately and updated in a timely manner.
  • →Identify, communicate, and escalate risks that may impact study deliverables or financial timelines.
  • →Participate in investigator and vendor communications related to study financial and operational matters.
  • →Support study teams in maintaining compliance with protocol requirements, SOPs, regulatory guidelines, and company processes.

  • →Coordinate the ordering, shipment, and tracking of clinical trial supplies and study materials.
  • →Monitor site inventory levels and proactively manage resupply activities.
  • →Collaborate with depots, vendors, sponsors, and study teams to resolve supply-related issues.
  • →Track shipment status and ensure timely delivery of study materials to investigative sites.
  • →Maintain accurate documentation and reporting related to study supplies and logistics.
  • →Support supply forecasting and inventory reconciliation activities.

Requirements

  • Bachelor's degree in Life Sciences, Business Administration, Finance, Supply Chain Management, Healthcare Administration, or a related discipline.
  • Equivalent combination of education and relevant experience may be considered.

  • Experience with investigator grant management and site payment administration.
  • Experience supporting site contracts and budget negotiations.
  • Knowledge of clinical trial financial processes, including forecasting, accruals, and reconciliation.
  • Experience coordinating clinical trial supplies, inventory management, or logistics activities.
  • Experience working in a CRO or global clinical research environment.

  • 1-3 years of experience in clinical research, site management, study coordination, clinical operations, finance operations, or clinical supply management.
  • Experience supporting investigator payments, budgets, invoicing, contract administration, financial reconciliation, or clinical supply activities is strongly preferred.
  • Experience working directly with investigative sites, sponsors, CROs, or clinical study teams.
  • Basic understanding of clinical trial processes and ICH-GCP guidelines.
  • Experience with CTMS, EDC, financial management systems, ERP platforms, or payment management tools is preferred.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent communication and stakeholder management skills.
  • Proficiency with Microsoft Office applications, particularly Excel.
