About the role
The Kitchen & Hygiene Admin Office supports the Culinary and Hygiene teams with the administrative coordination, documentation, and follow-up required to ensure efficient kitchen operations and compliance with food safety and hygiene standards. This role assists with maintaining accurate records, preparing reports, monitoring documentation, and coordinating departmental requirements. With a strong focus on organization, accuracy, and food safety, the position contributes to maintaining Four Seasons’ high standards across all culinary areas.
What you will do
- Provide administrative support to the Culinary and Hygiene teams, including documentation, filing, reporting, and correspondence.
- Maintain and update food safety and hygiene records, ensuring documentation is accurate, organized, and readily accessible.
- Support the monitoring and documentation of HACCP procedures and other food safety requirements.
- Assist with the preparation of hygiene inspection reports, follow-up records, and corrective action documentation.
- Maintain records related to food handling, storage, temperature controls, product rotation, and other relevant kitchen procedures.
- Support the coordination and follow-up of internal hygiene audits and inspections.
- Assist in preparing reports, presentations, checklists, and other administrative materials for the Culinary and Hygiene teams.
- Coordinate with Culinary, Stewarding, Purchasing, and other relevant departments to gather information and ensure appropriate documentation.
- Support the organization of food safety and hygiene training records and related departmental documentation.
- Assist the department with additional administrative and operational requirements as needed.
What you bring
- Strong Organizational Skills: Ability to manage documentation, records, schedules, and multiple administrative tasks in an efficient and structured manner.
- Food Safety Knowledge: Understanding of food hygiene and safety principles, including HACCP procedures and proper food handling practices.
- Attention to Detail: High level of accuracy when maintaining records, monitoring documentation, and preparing reports.
- Administrative Skills: Ability to prepare reports, organize files, update databases, and provide effective administrative support to the department.
- Analytical Skills: Ability to review information, identify inconsistencies, and support the follow-up of hygiene and food safety controls.
- Computer Skills: Proficiency in Microsoft Office, particularly Excel, Word, PowerPoint, and Outlook.
- Communication Skills: Ability to communicate clearly and professionally with Culinary, Stewarding, and other hotel departments.
- Proactive and Problem-Solving Attitude: Ability to anticipate administrative needs, follow up on pending actions, and support the team in resolving day-to-day requirements.
- Legal right to work in Spain.
Degree: Currently studying Food Science, Food Safety, Culinary Arts, Gastronomy, Nutrition, Hospitality or a related field.
Languages: Fluency in spoken English or Spanish.
