Responsibilities

- Develop and maintain a comprehensive membership marketing and sales plan.
- Identify target markets and develop strategies to attract qualified prospective members.
- Determine markets to be canvassed for qualified individuals and maintain a perpetual prospective member/invitee roster.
- Develop and maintain relationships with prospective members through personal contact, referrals, networking, events, follow-up, and other appropriate sales efforts.
- Conduct tours and presentations for prospective members and their families.
- Assist prospective members in fulfilling application requirements and understanding membership privileges, costs, rules, and expectations.
- Plan, design, and implement prospective member functions and events.
- Promote Club activities, amenities, and programs for prospective members.
- Organize and maintain membership kits and other materials used for sales calls, membership outreach, direct mail, and promotional activities.
- Research demographics, market segmentation, membership trends, and other information to identify opportunities for membership growth.
- Research other private clubs and industry practices for information useful in developing and revising Club membership policies and programs.
- Assess the need for and make recommendations regarding membership classifications to help ensure the Club's membership structure meets changing market needs.
- Track the success and overall performance of membership sales and marketing activities.
- Oversee all membership-related administrative duties, including maintaining member files, processing documentation, conducting mailings, and preparing monthly membership reports.
- Maintain the Club's membership database/register and ensure member information is accurate and current.
- Develop and ensure that established procedures for processing prospective members' applications are consistently followed.
- Process requests for new memberships, transfers, changes, and other membership transactions.
- Process member resignations and maintain accurate records of membership changes.
- Report approved new members to the Controller to initiate proper administration of their memberships.
- Ensure membership applications are complete and properly processed.
- Ensure initiation fees and other applicable membership charges are properly communicated and collected.
- Ensure new members understand membership privileges, costs, rules, and expectations.
- Develop, maintain, and monitor systems to track membership activity and attrition.
- Maintain historical membership information and records.
- Maintain confidentiality of all member and prospective member information.
- Develop and implement programs designed to increase member retention, engagement, and satisfaction.
- Develop and maintain a system for monitoring and analyzing member attrition.
- Follow up with members as appropriate to identify concerns, improve engagement, and encourage continued membership.
- Develop relationships with members throughout all Club facilities and activity centers.
- Encourage member participation in Club activities, programs, and amenities.
- Respond effectively and professionally to members' comments, concerns, suggestions, in accordance with Club standards, policies, and procedures.
- Use member feedback, ideas, surveys, and suggestions to continuously improve services provided to members.
- Develop and maintain an effective new member onboarding and orientation process.
- Conduct orientations for new members and assist them in becoming familiar with Club facilities, services, activities, and membership benefits.
- Follow up with new members to encourage engagement and ensure a positive transition into Club membership.
- Conduct an annual Club survey regarding membership dues, equity, practices, fees, and other membership-related matters.
- Analyze survey results and make recommendations to Club leadership as appropriate.
- Oversee the administration of membership rules and regulations to ensure consistency in interpretation and application.
- Review and recommend updates to membership rules, regulations, classifications, and procedures as needed.
- Communicate changes to membership rules, regulations, policies, and procedures to members in a timely and professional manner.
- Ensure membership practices are applied consistently and in accordance with Club policies.
- Work with the Membership Committee, General Manager, Senior Management Team, and other appropriate leaders regarding membership policies and procedures.
- Maintain the Club's overall membership communication plan.
- Coordinate with Marketing and other departments to ensure effective communication of Club amenities, activities, programs, events, and membership opportunities.
- Develop targeted membership communications based on member demographics, interests, and engagement.
- Assist with the development of membership newsletters, announcements, invitations, direct mail, presentations, membership materials, and other communications.
- Ensure communications with members and prospective members reflect the Club's standards of professionalism and hospitality.
- Participate in key Club events and maintain a visible presence throughout the Club.
- Host prospective members and their families at Club events and activities.
- Work with the Food & Beverage Department and other departments as needed to coordinate special member and prospective member events.
- Coordinate with department leaders to promote participation in Club programs and activities.
- Be present during targeted Club special events and operations, including evenings and weekends, as necessary to assist with operations and meet and greet members and guests.
- Serve as a professional ambassador for Greensboro Country Club at Club events and in the community.
- Serve on the Membership Committee and work collaboratively with the Membership Chair.
- Collaborate with the General Manager, Senior Management Team, Club committees, and department leaders to achieve membership objectives.
- Develop effective communication and collaboration with all departments to ensure the Club's membership goals are understood and supported throughout the organization.
- Work with department leaders to identify opportunities to enhance the member experience and increase utilization of Club amenities.
- Maintain a positive and professional working relationship with all employees and departments.
- Represent the Club professionally with members, prospective members, guests, community contacts, and other external constituencies.
- Develop and adhere to an approved Membership Department budget.
- Monitor departmental expenses and take corrective action as necessary to ensure budget goals are achieved.
- Prepare and maintain monthly membership reports.
- Track new members, resignations, transfers, prospective members, referrals, membership activity, and attrition.
- Analyze membership trends and provide recommendations to the General Manager and Membership Committee.
- Track and report the effectiveness of membership marketing, sales, retention, and engagement initiatives.
- Prepare reports, presentations, and other information requested by the General Manager, Membership Committee, Board, or Club leadership.
- Complete special projects and other appropriate assignments made by the General Manager.
Requirements
~1 min read- Bachelor's degree in business administration, Hospitality or Resort Management, Communications, Public Relations, Marketing, or a related field preferred.
- Certified Membership Professional designation or equivalent professional experience is a plus.
- Minimum of three (3) years of experience in hospitality, private club operations, membership sales, sales, marketing, customer relationship management, or a related field.
- Private club experience preferred.
- Demonstrated success in relationship building, sales, customer service, membership retention, or marketing.
- Strong interpersonal and communication skills.
- Excellent organizational and time-management skills.
- Strong attention to detail and follow-through.
- Ability to work independently and make sound decisions while collaborating effectively with Club leadership and employees.
- Professional appearance and demeanor appropriate for a private country club environment.
- Ability to work evenings, weekends, and holidays as required by Club events and membership activities.
- Must be able to reach, bend, stoop, stand, and lift up to 25 pounds.
- Must be able to sit, stand, walk, and remain active for prolonged periods of time.
- Must be able to move throughout Club facilities and grounds as required.
- Must be able to work indoors and outdoors during Club events and activities.
- Proficient working knowledge of Microsoft Office products, including Word, Excel, Outlook, and PowerPoint.
- Knowledge of Northstar membership software is preferred.
- Experience with membership databases, CRM systems, or similar relationship-management platforms preferred.
- Ability to analyze membership information and prepare reports using available technology.
- Ability and willingness to learn new technology and software systems.
Bachelor's Degree preferred and/or Certified Membership Professional designation or equivalent experience.
