Position Summary: The Senior Administrative Business Partner serves as a high-level administrative and operational partner to Clinical Programs and Administrative leadership. The role combines sophisticated executive support with project coordination, governance, process improvement, and specialized operational initiatives.

This position manages complex calendars and leadership priorities while coordinating meetings, committees, cross-functional projects, executive communications, reporting, and organizational deliverables. The Senior Administrative Business Partner is expected to anticipate leadership needs, independently coordinate assigned initiatives, track accountability, and ensure timely follow-through.

Working closely with clinical, physician, administrative, and operational leaders, this role supports organizational alignment, operational efficiency, and execution of key priorities while maintaining a high degree of confidentiality, professionalism, and judgment.


Essential Position Functions/Responsibilities:
  • Serve as a trusted administrative and operational partner to Clinical Program and Administrative leadership, anticipating needs, managing priorities, and proactively supporting organizational objectives.
  • Provide high-level executive support, including complex calendar management, scheduling, meeting coordination, travel, correspondence, and management of confidential information.
  • Coordinate leadership, physician, committee, governance, and cross-functional meetings, including agendas, presentations, briefing materials, minutes, and follow-up.
  • Maintain visibility of leadership priorities, commitments, deadlines, decisions, and action items to ensure timely and effective follow-through.
  • Support Clinical Program leaders, Medical Directors, and physician leadership with scheduling, administrative coordination, onboarding, organizational participation, and related operational needs.
  • Develop and maintain physician leadership schedules, including on-call, holiday coverage, and other assignments, as applicable.
  • Coordinate assigned strategic, operational, and specialized projects, maintaining project plans, timelines, milestones, deliverables, and accountability trackers.
  • Monitor project and initiative progress, identify risks, barriers, and dependencies, and provide timely updates and recommendations to leadership.
  • Coordinate cross-functional stakeholders and workgroups to facilitate execution of organizational priorities and completion of deliverables.
  • Prepare executive-level presentations, reports, dashboards, briefing materials, project summaries, and other communications to support leadership decision-making.
  • Support preparation for Board meetings, executive leadership meetings, audits, regulatory reviews, and other high-level organizational activities.
  • Maintain departmental trackers, dashboards, scorecards, and performance tools used to monitor goals, priorities, milestones, and key performance indicators.
  • Support process improvement and operational effectiveness initiatives through workflow analysis, process mapping, identification of operational gaps, and implementation of improved processes.
  • Assist with the rollout and adoption of new workflows, procedures, tools, and operational enhancements, including communication, training, and implementation support.
  • Support initiatives related to quality improvement, affordability, population health, utilization management, care management, risk adjustment, pharmacy, and value-based care, as applicable.
  • Maintain and organize departmental documentation, including policies, SOPs, workflows, committee materials, project records, operational guides, and governance documents.
  • Manage document repositories, SharePoint sites, version control, review cycles, and archival processes to ensure information remains accurate, current, accessible, and standardized.
  • Facilitate communication and collaboration among clinical, physician, administrative, and operational stakeholders, including Utilization Management, Care Management, Quality, Risk Adjustment, Population Health, Pharmacy, Finance, Compliance, and Operations.
  • Serve as a central point of coordination for assigned initiatives, helping remove administrative barriers and maintain alignment across stakeholders.
  • Exercise independent judgment in prioritizing competing demands, resolving routine issues, escalating risks, and determining appropriate follow-up.
  • Maintain a high level of professionalism, discretion, and confidentiality when handling sensitive executive, clinical, personnel, and organizational information.
  • Participate in departmental initiatives, special projects, and organizational activities as assigned and perform other related duties consistent with the scope of the position.

Qualification Requirements:
Skills, Knowledge, Abilities
  • Strong executive administrative, organizational, and project coordination skills.
  • Ability to manage multiple priorities, executives, projects, meetings, and deadlines simultaneously.
  • Demonstrated ability to anticipate leadership needs and work proactively with minimal supervision.
  • Strong calendar management, meeting coordination, governance, and follow-through skills.
  • Excellent written and verbal communication skills.
  • Ability to prepare polished executive-level presentations, reports, dashboards, and briefing materials.
  • Strong analytical, problem-solving, critical-thinking, and research skills.
  • Ability to work effectively with executives, physicians, clinical leaders, and cross-functional stakeholders.
  • Demonstrated judgment, discretion, professionalism, and ability to maintain confidentiality.
  • Experience supporting process improvement, workflow optimization, implementation, or organizational effectiveness initiatives preferred.
  • Knowledge of healthcare operations, clinical administration, managed care, population health, utilization management, care management, quality, or value-based care preferred.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
  • Experience with project management, reporting, collaboration, workflow, and document management tools preferred.

Training/Education:
  • Bachelor's degree in Business Administration, Healthcare Administration, Health Services Administration, Public Health, Nursing, or related field preferred/required based on organizational requirements.
  • Equivalent combination of education and relevant experience may be considered.
  • Master's degree preferred.

Experience:
  • 5+ years of progressive experience in executive administrative support, administrative business partnership, healthcare administration, clinical operations, project coordination, or related experience.
  • Experience supporting senior executives, physician leaders, clinical leadership, or administrative leadership.
  • Experience managing complex calendars, confidential information, executive meetings, and competing priorities.
  • Experience coordinating projects, strategic initiatives, committees, governance activities, or cross-functional workgroups.
  • Experience developing executive presentations, reports, dashboards, project plans, and meeting materials.
  • Healthcare, managed care, health plan, IPA/MSO, medical group, population health, or clinical operations experience preferred.
  • Experience supporting Clinical Programs, Medical Affairs, Medical Directors, or physician leadership preferred.
  • Experience with utilization management, care management, quality, population health, risk adjustment, pharmacy, affordability, or value-based care initiatives preferred.

💵 Base Compensation: $80,000 - $110,000 annually
