What this job involves:

As a JLL License Track Administrator, you'll be at the heart of our global compliance operations, supporting trade license administration and monitoring across EMEA and APAC regions. This role centers on maintaining the integrity and accuracy of our JLL License Track program, powered by Certemy, through diligent verification, documentation management, and stakeholder coordination. You'll serve as a critical operational link between our licensees, regional teams, and program leadership—ensuring that license data remains current, complete, and aligned with JLL's quality management standards. Working within a structured yet evolving global program, you'll support onboarding and offboarding processes, manage inquiry workflows, generate compliance reporting, and contribute to continuous improvement initiatives that strengthen our operational excellence. What your day-to-day will look like:

  • Manage and monitor the License Tracking mailbox—triaging, categorizing, tracking, and responding to stakeholder inquiries with professionalism and timeliness while escalating specialized questions to the Program Director or appropriate teams.
  • Support employee onboarding and offboarding within Certemy by inviting new users, deactivating inactive or terminated employees, and maintaining accurate user records across EMEA and APAC regions.
  • Review and verify employee-submitted licenses, certifications, and supporting documentation for completeness and accuracy, ensuring all information matches uploaded materials and meets program requirements using standardized approval and rejection conventions.
  • Coordinate peer reviews and follow-up requests when additional clarification or documentation is needed, maintaining clear communication and detailed notes throughout the verification process.
  • Generate operational reports and support analytics related to licensing compliance, onboarding activity, and inactive users, utilizing Power BI for dashboarding and trend analysis segmented by region, country, and cost code.
  • Maintain accurate, contemporaneous records of all approvals, rejections, escalations, and communications to support compliance monitoring and audit readiness aligned with JLL quality management expectations.
  • Assist with developing and maintaining operational documentation including FAQs, email templates, playbooks, and training materials, collaborating with Knowledge Management teams to ensure materials remain current and accessible.
  • Conduct research on regional licensing and educational requirements to support EMEA and APAC operations, documenting regulatory resources and contributing to knowledge base development.
  • Participate in governance cadences, operational reviews, and regional pilot activities, including meeting coordination, action item tracking, and documentation of meeting minutes where applicable.

Required qualifications:

  • 1–3 years of experience supporting compliance, licensing administration, operations support, or governance processes in a structured organizational environment.
  • Demonstrated attention to detail with proven ability to review documentation for accuracy, completeness, and alignment with established standards.
  • Strong written and verbal communication skills with ability to maintain professional correspondence across diverse stakeholder groups and escalate issues appropriately.
  • Proficiency with Microsoft Office applications including Excel, Outlook, Teams, and PowerPoint for daily operational tasks and documentation management.
  • Beginner-level Power BI experience required for supporting reporting, dashboarding, and basic data visualization activities.
  • Ability to manage multiple priorities independently while working within defined processes and maintaining operational consistency across regions.
  • Experience working with administrative systems, workflow tools, or compliance platforms preferred, along with familiarity managing shared mailboxes and tracking operational requests.

Preferred qualifications:

  • Experience supporting multinational or regional operations with understanding of varying regulatory or compliance requirements across geographies.
  • Strong organizational and documentation skills with ability to maintain knowledge repositories, process playbooks, and operational resources systematically.
  • Demonstrated ability to apply process standards consistently while adapting to evolving workflows in growing programs.
  • Collaborative mindset with proven stakeholder coordination skills and comfort working across cross-functional teams and time zones.
  • Familiarity with license verification processes, professional credentialing systems, or quality management frameworks.
