CCA Clinical Administrative Lead-PRN-Medical Assistant

This role combines clinical support, administrative coordination, and patient service within a remote-first healthcare environment. You will serve as a key liaison between clinicians and patients, supporting virtual check-in and check-out, appointment scheduling, medical assistant services, and day-to-day patient needs. The position requires strong ownership of referrals, recertifications, prior authorizations, records, documentation, and electronic health record workflows. You will also handle patient communications, escalations, and administrative processes while helping ensure timely access to care. Although primarily remote, the role may require in-person support based on departmental needs. This is a flexible, service-oriented opportunity for an experienced Medical Assistant who can work independently, solve problems creatively, and provide reliable support across a 24/7 care model.

Provide remote and, when required, in-person Medical Assistant support, including obtaining vital signs, assisting with patient questions, supporting clinicians, and facilitating bloodwork orders or related clinical requests.

Provide remote check-in and check-out services, assist patients throughout their interactions with clinical teams, and ensure that required visit documentation is completed accurately and on time.

Maintain patient information and electronic health record databases, including registration, appointment confirmation, demographic and financial information, and other required patient records.

Schedule and coordinate patient appointments in collaboration with clinicians and patients, using appropriate scheduling templates and ensuring timely access to care.

Manage incoming phone, electronic, and telehealth communications, serving as the primary administrative point of contact for the designated virtual care service and resolving or escalating issues as appropriate.

Complete recertifications, referrals, and prior authorizations in a timely manner, coordinating with clinicians and other stakeholders to prevent delays in patient care.

Process medical record requests through the designated records management process and handle new patient contracts, questions, and related administrative documentation.

Process and route incoming faxes through the appropriate systems, obtain provider signatures or information when required, and ensure documents are accurately categorized and uploaded into patient charts.

Oversee the scanning, uploading, printing, and organization of clinical and administrative documents, ensuring that records remain complete, accurate, and accessible.

Provide exceptional customer service to patients, referring offices, clinicians, and team members through phone, telehealth, and electronic communication, while independently managing complaints and escalations when possible.

Support medication sample management, CDL physical documentation, collections-related paperwork, and other administrative processes assigned to the department.

Help develop and improve processes that enable clinical and administrative workflows to operate efficiently, while maintaining awareness of applicable regulatory standards and operational requirements.

Demonstrate leadership and team-building skills, act as a subject matter resource for customer service and primary care processes, and perform other duties as assigned.
Requirements

3–5 years of experience as a Medical Assistant, with strong experience supporting both clinical and administrative workflows.

A high school diploma and current Medical Assistant certification are required.

Current BLS certification from the American Heart Association is required.

Previous experience working with an electronic health record system, patient scheduling platforms, scheduling templates, and computerized practice management systems is required.

Experience with hospital or outpatient registration and a strong understanding of medical terminology are required.

Strong computer literacy and analytical skills, with the ability to efficiently manage multiple tasks, maintain accurate records, and navigate electronic systems.

Excellent time management, organization, listening, communication, and independent decision-making skills, with the ability to exercise sound administrative judgment.

Strong escalation and conflict-resolution abilities, including the capacity to independently address customer concerns and appropriately support clinicians with patient escalations.

A compassionate, patient-focused approach with the ability to establish effective relationships with patients, clinicians, referring offices, and colleagues.

Demonstrated ability to work independently, think proactively, solve problems creatively, adapt to changing needs, and contribute to process improvements.

Strong leadership aptitude and the ability to demonstrate team-building skills while serving as a liaison between patients and clinical teams.

Flexibility to support a 24/7 operating model, including the ability and willingness to work 12-hour shifts and holidays as required.
