Subcontract Administrator

This full-time remote role provides subcontract administration support across large federally funded domestic and international programs.
You will manage subcontract activities throughout the procurement lifecycle, from proposal solicitation and evaluation through contract award and closeout.
The position combines contract administration, supplier coordination, documentation, negotiation, compliance, and project support.
You will work closely with internal teams, subcontractors, project leadership, and clients to ensure agreements meet operational and contractual requirements.
Strong organization and attention to detail will be essential for maintaining accurate records and ensuring timely execution.
The role also offers exposure to procurement practices within complex engineering, technical, defense, and infrastructure environments.
You will contribute to effective subcontract management while supporting high-value programs and continuously improving procurement workflows.

Plan and organize subcontract activities to support efficient and successful execution across assigned programs.

Prepare Requests for Proposal (RFPs) and review proposal packages for accuracy, completeness, and compliance with requirements.

Coordinate with affected internal teams to clarify requirements and ensure all necessary proposal information is included.

Receive and evaluate subcontractor proposals, assessing each supplier’s ability to meet organizational and project requirements.

Negotiate subcontract terms and conditions within delegated procurement authority.

Prepare and issue subcontracts and related agreements in accordance with applicable procurement requirements.

Prepare subcontract documents, amendments, and modifications, including appropriate flow-down requirements from prime contracts.

Ensure subcontract terms and conditions are appropriate for the relevant project and contractual environment.

Prepare reports and contractual correspondence for project management and clients.

Establish and maintain accurate subcontract tracking records tailored to individual agreements.

Maintain complete subcontractor files, including payment and other required documentation.

Perform subcontract closeout activities, complete required documentation, and prepare files for appropriate storage.

Serve as a liaison between internal stakeholders and subcontractor personnel to facilitate effective communication and issue resolution.

Provide technical guidance to junior Subcontract Administrators when appropriate.

Assist with work assignments and review completed work where required.

Support continuous improvement of procurement and subcontract administration processes.

Perform additional subcontract administration and procurement responsibilities as needed.
Requirements

Bachelor’s degree in Business Administration, Supply Chain Management, or a related field.

3+ years of relevant subcontract administration, procurement, contracts, or related experience.

Must be a U.S. citizen.

Strong understanding of procurement principles, including proposal solicitation, proposal analysis, subcontract award, administration, and closeout.

Ability to communicate effectively with internal and external customers, subcontractors, project teams, and other stakeholders.

Strong organizational, planning, workflow, and documentation skills.

Ability to manage multiple priorities and maintain accuracy within deadline-driven environments.

Adaptable, collaborative approach with the ability to respond positively to organizational and process changes.

Proficiency with Microsoft Office products.

Familiarity with financial or procurement systems such as Costpoint is preferred.

Experience with defense industry procurement is a plus.

Experience managing IDIQ contracts and task orders is beneficial.

Construction subcontracting experience is beneficial.

Knowledge of purchasing practices related to technical engineering labor subcontracts is advantageous.

Strong negotiation, analytical, problem-solving, and relationship-management skills.

Ability to work independently in a fully remote environment while collaborating effectively across distributed teams.
