Reporting to the Human Resources Director, the Human Resources Support Administrator will provide short-term human resources and administrative support during the start-up of the AFGHS-Jhpiego project, with a primary focus on recruitment, onboarding, and employee records management.

The position will support the timely recruitment and onboarding of a significant number of new project staff, working closely with the HR team and hiring managers to coordinate recruitment processes, maintain accurate documentation and recruitment trackers, and ensure a positive candidate and new-hire experience. The position will ensure that HR processes are implemented in accordance with Jhpiego policies and procedures and applicable Tanzanian labour laws.

 

Responsibilities

  • Support candidate longlisting and screening and coordinate communication with shortlisted candidates regarding interviews and next steps.
  • Coordinate interview scheduling, interview materials, and development and finalization of interview questions with hiring managers.
  • Coordinate reference, background, and security checks for selected candidates in accordance with Jhpiego requirements.
  • Prepare and maintain required interview and recruitment documentation for each position.
  • Prepare offer and contract letters for selected candidates and ensure timely communication and follow-up.
  • Ensure unsuccessful candidates receive timely communication on the outcome of recruitment processes.
  • Coordinate onboarding and orientation of new hires, including required documentation, administrative arrangements, and logistics, to ensure a positive onboarding experience.
  • Maintain the master recruitment tracker and provide regular recruitment status updates to the Start Up Team, HR Director and Country Director.
  • Participate in ongoing start up meetings and provide recruitment updates
  • Ensure recruitment and employee documentation is complete, accurate, appropriately filed, and securely maintained in both electronic and hard-copy personnel files in accordance with Jhpiego standards.
  • Ensure final job descriptions are shared with new hires, signed, and appropriately stored in SharePoint and personnel files.
  • Follow up with employees and managers to ensure timely submission of documentation required for recruitment, onboarding, orientation, insurance, staff development, and employee transition or exit processes.
  • Provide general administrative support to the HR team to facilitate efficient delivery of HR services during project start-up.
  • Perform other HR and administrative duties as assigned based on organizational and project start-up needs.
  • Work collaboratively with the HR team and other departments to support efficient recruitment and onboarding processes.
  • Contribute to an open, professional, transparent, and learning-oriented organizational culture.
  • Ensure adherence to Jhpiego policies, procedures, confidentiality requirements, and applicable Tanzanian labour laws.

Requirements

  • Bachelor’s degree, advance diploma in Human Resources, Law, Business Administration.
  • Practical experience around Human Capital Management.
  • Minimum of 2 to 3 years of post-qualification experience in Human Resources management position.
  • Computer literate
  • Communication and interpersonal skills - Strong written and oral communication skills.
  • Excellent interpersonal skills and ability to deal with staff at all levels
  • Good level of computer literacy, conversant with all Microsoft products
